Role Description
This is a full-time, on-site & off-site role for a Personal Assistant to the Director, based in Kolkata. The Personal Assistant will manage the Director's diary, coordinate meetings, handle correspondence, and ensure effective communication across departments. Responsibilities include providing administrative support, organizing travel arrangements, preparing reports, and maintaining records. The role also involves acting as a point of contact between the Director and stakeholders, ensuring the seamless execution of daily tasks and schedules.
Qualifications
Calendar Management: Managing a complex, fast-changing calendar, prioritizing meetings, and resolving scheduling conflicts.
Communication Gatekeeping: Screening emails, phone calls, and visitors to ensure the Director focuses only on high-priority matters.
Travel Coordination: Organizing detailed domestic and international travel itineraries, including flights, accommodation, visas, and ground transportation.
Internal Liaison: Acting as a bridge between the Director and departmental heads to track the progress of ongoing projects.
External Relations: Representing the Director in communications with stakeholders, clients, and official bodies.
Meeting Management: Preparing agendas, attending board or executive meetings to take minutes, and ensuring follow-up actions are completed by the relevant teams.
Drafting & Editing: Preparing high-level correspondence, official notices, speeches, and internal announcements.
Presentation Prep: Creating professional slide decks, reports, and data visualizations for executive briefings.
Public Relations Support: Assisting with press releases or social media messaging that reflects the Director's or the organization's voice.
Event Oversight: Planning and executing corporate events, such as annual general meetings (AGMs), workshops, or community outreach programs.
Research: Conducting background research on specific industries, competitors, or potential partners to brief the Director before key meetings.
Special Assignments: Managing one-off projects that fall outside standard departmental duties but require executive-level oversight.
Essential Skill Set
Discretion - Handling sensitive information regarding finance, personnel, or strategy with total confidentiality.
Anticipation - Solving problems before they reach the Director (e.g., preparing a briefing note for a meeting they forgot was on the schedule).
Adaptability - Remaining calm and effective under pressure or during sudden shifts in organizational priorities.
Tech Proficiency - Expert use of office suites (Google Workspace/Office 365) and project management tools.
