Position Summary
We are seeking an exceptional Personal and Executive Assistant to serve as a trusted partner to the CIO. This is a high-trust, high-discretion role supporting a dynamic executive with multiple business interests, philanthropic initiatives, and international commitments.
The Assistant will manage executive operations, travel globally alongside the Principal, coordinate complex personal and business logistics, and ensure every aspect of the CIO's professional and personal schedule runs seamlessly. This role requires someone who is calm under pressure, exceptionally organized, proactive, resourceful, and capable of anticipating needs before they arise.
The ideal candidate thrives in a fast-paced, entrepreneurial environment, exercises impeccable judgment, maintains absolute confidentiality, and is willing to travel extensively on both domestic and international assignments.
Key Responsibilities
- Serve as the CEO's trusted partner, managing daily priorities and ensuring the efficient execution of strategic initiatives
- Manage a complex executive calendar across multiple time zones, balancing business, family, and philanthropic commitments
- .Prepare daily agendas, executive briefings, meeting materials, and follow-up action items
- ttend meetings when required, capture decisions, and ensure accountability for deliverables
.Executive Travel & Global Mobility
- Plan and manage complex multi-city and multi-country travel itineraries, including flights, accommodations, ground transportation, visas, travel documentation, and contingency planning
- Travel internationally with the Principal, providing on-the-ground support throughout each trip
- .Coordinate hotel check-ins, transportation, dining reservations, meeting logistics, event schedules, and last-minute itinerary changes
- .Anticipate travel requirements well in advance and proactively resolve issues before they impact the Principal
- .Maintain organized travel records, documentation, and itineraries for business and personal travel
.Calendar & Executive Coordination
- Coordinate meetings across global time zones with executives, investors, partners, government officials, universities, and external stakeholders
- Ensure all meetings are properly prepared with briefing materials, agendas, background research, and supporting documentation
- Coordinate closely with executive leadership, household staff, vendors, and external advisors
Personal & Family Support
- Coordinate travel and logistics for the Principal and accompanying family members
- Manage personal appointments, reservations, special events, and other confidential personal matters
- Handle sensitive family logistics with discretion, professionalism, and exceptional attention to detail
Communication Management
- Screen, prioritize, and draft executive correspondence, emails, presentations, reports, and other communications
- Serve as the central communication point between the Principal, executive team, household staff, consultants, legal counsel, investors, and external partners
- Keep stakeholders informed while protecting confidentiality
Project & Business Coordination
- Track strategic initiatives across multiple companies, investments, and nonprofit organizations
- Maintain project dashboards, action-item trackers, and executive reporting systems
- Coordinate cross-functional projects and ensure deadlines are consistently achieved
- Support board meetings, fundraising initiatives, investor communications, and executive presentations
.Research & Executive Briefing
- Conduct research on markets, industries, competitors, investment opportunities, travel destinations, and strategic initiatives
- Prepare concise executive summaries, briefing documents, and decision-support materials
- Compile data and insights to assist with executive decision-making
AI & Productivity System
- Utilize AI tools such as ChatGPT, Microsoft Copilot, and Google Gemini to improve executive productivity
- Develop and maintain digital filing systems, knowledge bases, and workflow automations
- Continuously improve operational processes using technology and best practices
Qualifications
Education
- Bachelor's degree in Business Administration, Management, Communications, Hospitality, or a related field preferred.
Experience
- Minimum 5 years supporting C-level executives, founders, principals, family offices, or high-net-worth individual
- Experience coordinating complex international travel and executive schedule
- Previous experience in startups, venture capital, consulting, technology, hospitality, luxury services, or family offices is highly desirable
