Position Summary
The Personal Assistant (PA) will provide comprehensive administrative, operational, communication, and travel support to the Managing Director. The ideal candidate must be highly organized, proactive, professional, trustworthy, and capable of managing multiple responsibilities in a fast-paced environment.
The PA will act as a key liaison between the Managing Director, employees, clients, government departments, healthcare professionals, investors, donors, and other stakeholders.
Key Responsibilities1. Executive Support
- Manage the Managing Director's daily schedule and appointments.
- Organize meetings, conferences, and events.
- Prepare agendas, presentations, reports, and meeting minutes.
- Screen calls, emails, and correspondence.
- Prioritize communications and urgent matters.
- Follow up on pending tasks and deadlines.
2. Administrative Management
- Maintain confidential files and records.
- Draft official letters, MoUs, proposals, and reports.
- Prepare documents for meetings and board reviews.
- Handle office documentation and filing systems.
- Coordinate with various departments for information gathering.
3. Travel & Logistics Management
- Arrange domestic and international travel.
- Book flights, trains, hotels, and transportation.
- Prepare travel itineraries.
- Accompany the Managing Director during official visits when required.
- Manage travel reimbursements and expense records.
4. Communication & Stakeholder Coordination
- Coordinate with:
- Doctors
- Therapists
- Government officials
- NGOs
- Investors
- Donors
- Parents of PwDs
- Corporate partners
- Vendors and suppliers
- Maintain professional communication on behalf of the Managing Director.
- Schedule stakeholder meetings and follow-ups.
5. Project Coordination
- Monitor ongoing projects and deadlines.
- Track progress of departmental activities.
- Prepare project status reports.
- Ensure timely completion of assigned tasks.
- Coordinate cross-functional teams.
6. Event & Program Management
- Assist in organizing:
- Conferences
- Awareness programs
- Medical camps
- Fundraising events
- Training programs
- Corporate meetings
- Coordinate venue arrangements and logistics.
7. Social Media & Digital Support
- Assist in managing LinkedIn, Facebook, Instagram, and WhatsApp communications.
- Coordinate content creation and publishing.
- Respond to inquiries and maintain communication records.
8. Financial & Documentation Support
- Track invoices and payments.
- Maintain expense records.
- Assist with budget tracking.
- Coordinate with accountants and auditors.
- Prepare basic financial summaries when required.
Required QualificationsEducation
Bachelor's Degree in:
- Business Administration
- Management
- Commerce
- Social Work
- Healthcare Administration
- Public Relations
- Any relevant discipline
MBA candidates will have an added advantage.

Salary & BenefitsSalary
₹25,000 – ₹45,000 per month (Based on qualification and experience)
