A typical day as a Pennfield Schools building secretary is fast-paced and centered
around supporting students, staff, and families. The day often begins by opening the
office, checking emails and voicemails, and preparing for student arrivals. Throughout
the day, the secretary greets visitors, answers phone calls, manages attendance
records, and assists parents with questions or early student pickups. They coordinate
communication between teachers, administrators, and families, while also handling
paperwork, scheduling meetings, and maintaining student records. In addition, the
secretary helps address unexpected situations such as student illnesses, transportation
changes, or last-minute announcements. By staying organized and responsive, the
building secretary plays a key role in keeping the school office running smoothly and
ensuring students and staff have the support they need throughout the day.
● Receive visitors and answer telephone calls in a cordial, effective and
courteous manner.
● Create and maintain an “inviting” office climate for students, staff and
parents.
● Establish and maintain office routine: student and office records;
electronic accounting skills; prepare newsletter, requisitions, purchase
orders and work orders; register students; maintain files; use office
machines with proficiency, speed and accuracy; process mail; handle
school correspondence.
● Arrange subs for support staff and classroom aides when needed.
● Attend to minor first aid needs when a nurse is not in the building.
● Administer medication to students on daily basis.
● Maintain Principals calendar and schedule.
● Interpret and follow written and verbal directions independently.
● Maintain confidentiality and practice discretion in all settings.

As a Building Secretary at Pennfield Schools, you’ll be an essential part of a
supportive and spirited learning community that values both tradition and
innovation. Pennfield Schools offers a close-knit environment where students are
encouraged to grow academically while exploring their interests in the arts,
athletics, and beyond. In this role, you help create a welcoming and organized
school environment for students, staff, and families. From managing daily office
operations and communication to assisting with student needs and supporting
school staff, your work helps ensure the school runs smoothly each day. You’ll be
part of a dedicated team that values collaboration, compassion, and strong
relationships with the community. With a strong sense of Panther pride, being a
member of our team is both meaningful and rewarding
● A high school diploma with additional business school or college desired.
● Current or recent school or office experience required.
● Possess current First Aid and CPR cards or willingness to obtain them.
● Evidence of demonstrated ability to establish and maintain effective working
relationships with students, staff, parents and general public.
● Evidence of demonstrated ability to: work under pressure with interruptions and
still maintain composure and normal office routines; compose standard memos,
letters and reports accurately and independently or with minimum instruction.
● Demonstrated computer experience with Microsoft Word/Excel/Publisher, Google
Docs/Sheets, and know or be familiar with Power School Student System.
● Possess good communications skills, personal integrity and professional ethics.
● Dependability, punctuality, excellent attendance with the ability to be
self-disciplined and a self starter; professional attitude and appearance.
● Ability to maintain confidentiality in all aspects of the job.
● Pay Range: $19.70 - $25.25 plus a competitive benefits package
● Schedule: Approx 10.5 months / 205 days a year, 8 hours a day
● Reports To: High School Principal
● Starting Date: As soon as possible
