Job Summary
We are seeking a detail-oriented Payroll Specialist to manage end-to-end payroll processing for employees in the United States. The ideal candidate will have strong knowledge of U.S. payroll regulations, federal and state tax laws, and compliance requirements. This role requires accuracy, confidentiality, and the ability to manage multiple payroll cycles and deadlines.
Key Responsibilities
· Process bi-weekly, semi-monthly, or monthly payroll for U.S. employees, ensuring accuracy and timeliness
· Maintain and update employee payroll records, including new hires, terminations, compensation changes, and deductions
· Calculate wages, bonuses, commissions, overtime, and other earnings
· Ensure compliance with federal, state, and local payroll tax regulations (e.g., IRS requirements)
· Manage payroll tax filings, payments, and year-end reporting (e.g., Forms W-2, 941)
· Reconcile payroll accounts and resolve discrepancies
· Coordinate with external payroll providers (e.g., ADP, Paychex) if applicable
· Administer employee benefits deductions (healthcare, 401(k), garnishments, etc.)
· Ensure compliance with wage and hour laws, including FLSA requirements
· Respond to employee inquiries regarding pay, taxes, and deductions
· Support internal and external audits by providing payroll documentation
· Maintain data privacy and compliance with applicable regulations
· Identify and implement payroll process improvements
Qualifications & Experience
· Bachelor’s degree in Accounting, Finance, HR, or a related field
· 3–9 years of U.S. payroll experience
· Strong knowledge of federal and multi-state payroll laws and tax regulations
· Experience with payroll systems (e.g., ADP, Workday, SAP, Paychex)
· Familiarity with payroll accounting and reconciliations
· Proficiency in Microsoft Excel
