Job Description – Payroll Specialist (Immediate Joiners only should apply)
Position: Payroll Specialist
Location: Gurgaon
Function: Human Resources / Payroll
Experience: 10-15 years
Reporting To: Head – HR Operations
Role Purpose
We are looking for a detail-oriented and highly responsible Payroll Specialist to manage end-to-end payroll processing, statutory compliance, HRMS payroll activities, employee data validation, payroll reporting, and Full & Final settlements.
The role requires strong payroll knowledge, hands-on HRMS expertise, excellent Excel skills, high accuracy, and strict confidentiality.
Key Responsibilities
Payroll Processing
- Manage end-to-end monthly payroll processing for corporate, retail, and other employee categories.
- Validate attendance, leave, LOP, weekly offs, holidays, new joiners, exits, increments, incentives, reimbursements, deductions, and recoveries.
- Ensure timely and accurate salary processing every month.
- Prepare payroll input and output files with proper checks and validations.
- Coordinate with HR Operations, Finance, and business teams for timely payroll inputs.
- Maintain payroll records with proper documentation and audit trail.
HRMS Expertise
- Manage payroll activities through HRMS/payroll systems independently.
- Maintain and validate employee master data, salary structures, bank details, PAN, UAN, ESIC details, tax declarations, and other payroll-related information.
- Handle attendance integration, leave/LOP validation, payroll input uploads, salary revisions, F&F processing, and payroll reports through HRMS.
- Validate HRMS outputs and identify data gaps, system errors, or process issues.
- Coordinate with HRMS/vendor teams for corrections, system improvements, and process automation.
- Experience in PeopleStrong or any similar HRMS/payroll platform will be preferred.
Statutory Compliance
- Ensure accurate compliance with PF, ESIC, Professional Tax, Labour Welfare Fund, TDS, Bonus, Gratuity, Minimum Wages, Shops & Establishment requirements, and other applicable labour laws.
- Prepare and validate statutory challans, returns, reports, and supporting documentation.
- Coordinate with consultants/vendors for compliance filings, wherever applicable.
- Support statutory audits, inspections, and internal compliance reviews.
Full & Final Settlement
- Process exit cases and Full & Final settlements accurately and within defined timelines.
- Validate notice pay, leave encashment, recoveries, incentives, deductions, statutory dues, and final payable amounts.
- Coordinate with HR, Finance, and employees for smooth closure of F&F cases.
Payroll Audit & Reporting
- Prepare monthly payroll dashboards, variance reports, reconciliation reports, salary cost reports, and statutory reports.
- Conduct payroll reconciliation with Finance.
- Identify payroll errors, discrepancies, and process gaps, and ensure timely correction.
- Support internal and external audits with accurate data and explanations.
Employee Query Management
- Handle employee queries related to salary, tax, PF, ESIC, deductions, reimbursements, F&F, and payslips.
- Ensure timely and professional resolution of payroll-related issues.
- Maintain complete confidentiality of employee salary and personal information.
Required Skills
- Strong knowledge of end-to-end payroll processing.
- Good understanding of PF, ESIC, PT, LWF, TDS, Bonus, Gratuity, Minimum Wages, and payroll-related statutory compliance.
- Strong hands-on expertise in HRMS/payroll systems.
- Advanced Excel skills, including VLOOKUP/XLOOKUP, Pivot Tables, IF formulas, SUMIFS, data validation, and reconciliations.
- Ability to work with large employee data with high accuracy.
- Strong payroll audit, reconciliation, and reporting ability.
- Good coordination and communication skills.
- High level of integrity, confidentiality, ownership, and attention to detail.
Qualification
- Graduate/Postgraduate in Commerce, HR, Finance, or related field.
- Payroll or statutory compliance certification will be an added advantage.
Preferred Background
- Experience in retail, apparel, manufacturing, FMCG, hospitality, or any large manpower-based organization.
- Experience of handling payroll for multi-location employees will be preferred.
