Position: Payroll & Compliance Executive
About The Role
We are seeking a detail-oriented Payroll & Compliance Executive to manage end-to-end payroll, attendance validation, statutory compliance, and salary disbursement for a multi-client passenger transport business.
The role also involves managing employee and trip data through the Roorides ERP system and ensuring accurate vehicle vs. employee deployment reconciliation, directly impacting billing accuracy and profitability.
Key Responsibilities
- Payroll Management
- Process monthly payroll across multiple client deployments
- Ensure accurate computation of salary components, including Basic, HRA, allowances, overtime, incentives, reimbursements, and statutory deductions
- Manage deductions such as PF, ESI, PT, TDS, insurance, and salary advances
- Generate payslips and handle Full & Final (F&F) settlements
- Attendance Management
- Collect and validate attendance through Roorides ERP reports, client MIS/biometric systems, and manual inputs
- Verify working days, weekly offs, holidays, overtime, shift patterns, absenteeism, and leave records
- Resolve attendance discrepancies with Operations teams before payroll processing
- Roorides ERP – Employee Management
- Manage employee lifecycle and deployment data within the Roorides ERP system
- Handle employee onboarding and profile management
- Update employee status, including active, inactive, and transfers
- Approve spare driver or monitor requests
- Ensure ERP data integrity and alignment with payroll and attendance records
- Act as a control point for employee data accuracy across operations
- Salary Approval & Payment Processing
- Prepare client-wise and consolidated payroll sheets
- Obtain management approvals before salary disbursement
- Coordinate with Accounts teams for salary funding
- Ensure timely salary credit to employees
- Reconcile salary payments with bank records
- Client-wise Payroll Handling
- Maintain separate payroll structures for each client
- Manage variations in salary structures and compliance applicability
- Ensure accurate employee-client mapping
- Billing & Payroll Reconciliation
- Reconcile salary payouts against client billing
- Identify cost versus billing variances and missing or excess billing
- Support invoice validation with the Accounts team
- Vehicle vs Employee Deployment Reconciliation
- Validate vehicle operating days against employee attendance
- Verify trip data from Roorides against payroll records
- Identify employees paid but not deployed
- Identify vehicles billed without manpower support
- Monitor idle manpower versus active fleet deployment
- Ensure alignment between trip data, attendance, payroll, and billing records
- Statutory Compliance
- Ensure timely filing of PF through the Employees' Provident Fund Organisation
- Ensure ESI compliance through the Employees' State Insurance Corporation
- Handle PT and TDS compliance, including Form 24Q and Form 16
- Maintain statutory registers and compliance documentation
- Ensure compliance with labour laws, including the Payment of Wages Act, Minimum Wages Act, Payment of Bonus Act, and Gratuity Act
- Compliance Mapping
- Maintain compliance applicability matrices as per client requirements
- Ensure PF/ESI eligibility accuracy and employee enrolment
- Support audits and inspections
- MIS & Reporting
- Prepare payroll summaries and attendance reports
- Generate Roorides vs payroll reconciliation reports
- Prepare vehicle-wise manpower and cost reports
- Generate client profitability reports
- Ensure timely submission of MIS reports
- Coordination
- Coordinate with HR for employee lifecycle updates
- Work with Accounts for salary processing, billing, and reconciliation
- Coordinate with compliance authorities and labour-related departments
- Work closely with Operations teams for employee onboarding and documentation
