Position Overview:
This role is designed for a professional who can leverage their deep operational knowledge of BPO processes (payroll and accounting) to drive transformation through AI and technology.
A successful candidate demonstrates strong leadership skill, combining a solid understanding of general payroll and accounting processes, and a proactive mindset toward continuous improvement through AI and technology.
Key Responsibilities:
- Current-State Assessment & Bottleneck Identification
• Understand and structure business requirements from user departments; through requirement gathering and issue clarification, identify the true needs of requestors.
• Develop a practitioner-level understanding of BPO processes — payroll processing, AP/AR, monthly close, reconciliation, and reporting — and identify bottlenecks that are candidates for automation or AI enhancement.
- AI & Tech Solution Design and Implementation
• Propose and implement technical solutions — including AI tools, RPA, and system configuration changes — to address identified bottlenecks.
• Implement solutions directly as system configurations and operational improvements to contribute to enhanced business efficiency and quality. Propose and develop optimal solutions.
• Lead high-difficulty new projects and system implementations. Partner with managers and management to execute business strategy, run PDSA action plans, and build organizational structures to improve operational efficiency.
- Data Utilization & Visualization for Decision-Making
• Support department-level decision-making through data utilization and visualization.
• Build dashboards from payroll and accounting data so that the BPO team and management can monitor real-time status and make informed decisions.
• Progressively introduce AI-powered mechanisms such as anomaly detection and predictive analytics (e.g., payroll error prevention, uncollected A/R risk flagging).
- User Training & Adoption Support
• Deliver user training. Coordinate with internal and external stakeholders, communicating requirements, configuration policies, and improvement proposals adapted to the audience's level of understanding. When consensus-building is needed, organize situations and options to move stakeholders to action.
• Embed newly introduced tools and AI capabilities into BPO team day-to-day workflows and drive adoption across the team. Document AI and tool usage within the team to prevent knowledge silos and improve repeatability.
- Continuous Process Improvement
• For generally routine challenges, recommend moderate adjustments and enhancements. For problems that require understanding of other job areas, find solutions through past experience and analysis.
• Integrate a Plan–Do–Check–Act (PDCA) improvement cycle into BPO processes, continuously measuring and expanding the impact of technology adoption.
Required Skills & Qualifications:
General BPO Operational Skills (Required)
• Excel proficiency (basic operations, data handling)
• General operation knowledge for AP/AR data entry (invoice verification, payments, cash application, reporting), Bank reconciliation, payroll data entry, timekeeping checks
• Prioritization across multiple parallel projects and tasks
IT Systems & Tech Skills (Required)
• Basic operations and configuration of business systems and tools
• User support basics (inquiry response, triage, escalation)
• Understanding of business flows and data flows
• Adherence to standard procedures and appropriate escalation judgment
AI & Automation Skills (Preferred)
• Basic experience with RPA or no-code/low-code tools (e.g., Power Automate, Zapier)
• Practical experience using AI tools (e.g., ChatGPT) to support operational tasks
• Data visualization tool experience (e.g., advanced Excel, Power BI, Tableau)
• Prior involvement in system implementation or migration projects
Cross-Functional Skills (Required)
• Ability to translate BPO operational pain points into technical solutions
• Communication bridge between non-technical operation members and IT teams
• Bilingual communication in Japanese and English (internal and client-facing)

* Salary: $60,000-$100,000 (Base Salary) + Profit sharing
* Work schedule: Mon-Fri 9am- 6pm
