Job Overview:
This position is responsible for delivering accurate and compliant payroll services for assigned clients, while taking ownership of day-to-day payroll operations and supporting payroll projects.
The role serves as a mid-level specialist who works independently on payroll processing and supports project leaders in system implementations, process improvements, and client communications.
A successful candidate demonstrates strong payroll operational skills (speed and accuracy), a solid understanding of multi-state payroll regulations, and a proactive mindset toward continuous improvement.
Key Responsibilities:
- Process multi-state payrolls for multiple clients independently
- Ensure payroll accuracy, timeliness, and compliance with federal, state, and local regulations
- Support payroll-related projects, including payroll system implementations and conversions, under the guidance of a Project Leader or Manager
- Review and improve existing payroll procedures to enhance efficiency and quality
- Research regulatory updates and apply changes to payroll operations as needed
- Communicate professionally with clients to resolve payroll inquiries and issues
- Collaborate with internal teams (sales, project members, and IT) to meet client expectations
- Maintain high standards of customer service and data confidentiality
- Participate in internal projects and process improvement initiatives
- Perform other duties as assigned
Qualifications:
*Education/ Experience:
- (Preferred) Associate degree in a related field or an equivalent combination of education and experience
- (REQUIRED) 3–5 years of payroll processing experience, including multi-state payroll
- (REQUIRED) Experience processing payroll for multiple companies or clients
- (REQUIRED) Solid understanding of U.S. payroll regulations, tax rules, and compliance requirements
- (REQUIRED) Hands-on experience with payroll systems (ADP or similar systems is preferred)
- (REQUIRED) Proficiency with Microsoft Office tools (Excel, Word, and PowerPoint)
- Experience supporting payroll projects or system implementations is a plus
*Fundamental Skills:
- Excellent and professional verbal and written communication skills in English (required) and Japanese (preferred)
- Reliable self-starter who takes ownership of assigned responsibilities
- Strong prioritization, multitasking, time management, and customer service mind to meet stakeholder expectations and deadlines
- Ability to work collaboratively within a team-oriented environment
- Comfortable learning new systems and adaptable to IT-related changes; not afraid of challenge

* Anticipated Start Date: June - July 2026
* Salary: $55,000-73,000 (Base Salary) + Profit sharing
* Classifications: Non-Exempt, Full-time (40 hours/week)
* Work schedule: Mon-Fri 9am- 6pm
