Role Description
The Parent Experience Associate is the face of Sportyze for every family that walks in, calls, or messages us. You own the complete parent journey — from the moment a curious parent first reaches out, through their child's demo session, to the day they enrol, renew, and refer their friends. This role sits at the heart of our growth engine: you build trust, you guide decisions, and you close admissions with empathy and intent.
Key Responsibilities
Parent engagement & enquiry management
• Handle all inbound enquiries via phone, WhatsApp, and walk-ins with speed and warmth — every lead responded to within 15 minutes
• Schedule and conduct demo / trial sessions for prospective families, delivering an experience that builds immediate trust in Sportyze.
Admissions & conversion
• Manage welcome desk
• Convert demo sessions and enquiries into confirmed, fee-paid admissions against monthly targets
• Handle objections on fee, schedule, and fit with empathy, accurate information, and decisive resolution
Retention, renewals & referrals
• Drive batch renewals proactively — initiate renewal conversations 3 weeks before term-end, not after lapse
• Build a structured referral pipeline by turning satisfied parents into Sportyze advocates through timely engagement and recognition
• Monitor early drop-off signals and intervene with personal outreach before a family disengages
Parent relations & experience
• Serve as the primary point of contact for all parent queries, feedback, and concerns — resolving within defined SLAs
• Escalate complex or sensitive issues to the Centre Manager with complete context and a proposed resolution
• Coordinate parent-facing events, open days, and community touchpoints that deepen family connection to the brand
CRM, operations & reporting
• Maintain complete, up-to-date records of all leads, demos, admissions, renewals, and follow-ups in the CRM
• Prepare daily and weekly admission pipeline reports and share them with the Centre Manager every Monday morning • Coordinate closely with coaches and operations to ensure seamless batch scheduling, capacity management, and demo logistics
Qualifications & experience
• Graduate or postgraduate in any discipline; additional certification in sales, education, or sports
is a plus
Skills & competencies
• Exceptional communication — warm, clear, and confident in-person and over WhatsApp / phone
• Natural ability to build trust with parents quickly, especially anxious or undecided ones
• Strong closing instinct combined with genuine empathy — never pushy, always purposeful
• Highly organised with a follow-up discipline that lets nothing fall through the cracks
• Comfortable with targets, KPIs, and weekly performance conversations
• Proficient in WhatsApp Business, basic Excel, email, and CRM tools
