Position Summary: Responsible for the routing, verification and working of the paperwork for the Parts and Service departments. Assisting Parts and Service office personnel with daily functions.
Essential Functions: (other duties may be assigned)
· Opens work orders, makes sure all information & paperwork are in work orders and close work orders after manager's review.
· Issue and process Purchase Orders and enter in work order when it applies
· Answer phones
· Check and enter labor
· File paper work
· Help and greet customer, direct them to proper department according to their needs
· Maintain, copy, and file work orders
· Maintain labor recap
· Maintain petty cash file
· Maintain warranty work orders file
· Make copies of warranty work orders
· Input delivery date and customer information into Caterpillar (PIS)
· Misc. charges/ enter miscellaneous charges to work orders (HAZ, MLG, petty cash, and PO’s)
· Petty cash/ Issue petty cash to technicians when they turn in receipts.
Opening segments as requested
· Reports Worker’s Comp accidents to HR Department.
· Order supplies
· Cashier duties
· Assist customers with questions on their backorders, totals, and providing copies of invoices.
· Processing all “code/charge” account customers sale documents over the will call counter.
· Filing of daily customer sale documents.
· Processing of Caterpillar and allied invoices.
· Processing other duties such as: customer refund check requests, warranty service charges
· File invoices, documents, etc.
· Assist customers with questions on their backorders, totals, and providing copies of invoices.
