Opportunity – the ‘what’
• Provide editorial and administrative support across all stages of the editorial publishing process as part of the Content Development Team in Databases.
• Assist with project set‑up by creating and recording accurate product and content data using internal systems.
• Process, track, load, review, edit, and manipulate content and data within defined procedures, maintaining accurate tracking systems, producing samples and reports, and supporting the improvement of systems and workflows.
• Process standard contracts under limited guidance, including issuing contracts, arranging signatures and countersignatures, maintaining contract records, handling routine queries, liaising with Royalties and Publications teams, and providing related information to other functions.
• Support authors by answering routine queries, directing complex queries appropriately, providing standard materials, explaining content‑delivery preparation, and maintaining positive working relationships between authors and OUP.
• Process and track payment requests to ensure timely and accurate payments for authors, freelancers, and suppliers, and handle requests for complimentary access to products and services.
• Provide administrative support, when requested, to the Heads of Content Development and Head of Editorial Operations, including preparing and circulating reports, supporting departmental best practice, training and policy documentation, calendar and agenda management, arranging meetings, and acting as a liaison with IT, Facilities, and other departments.
• Work collaboratively with cross‑functional colleagues across Editorial, Content Operations, Marketing, PR, Sales, Royalties, Finance, Publications, and Accounts Payable to ensure smooth publishing workflows.
• Contribute positively to the department, division, and wider Press, including participation in additional projects as agreed with the manager.
• As part of development in the role, assist with preparing content for handover to Production, including assessing articles, completing basic edits, updating metadata, preparing materials for Sales and Marketing, and monitoring progress of content through the Production workflow, ensuring production queries are handled promptly.
• The role has a direct impact on the effective management and delivery of OUP’s academic database content, supporting quality, efficiency, and collaboration across the publishing lifecycle and contributing to the success of the Academic Division globally.
