Role Overview
We are looking for a highly organized, dependable and proactive Business Operations Manager to work closely with senior leadership and help manage day-to-day business priorities across the U.S. and India.
This is a hands-on role combining executive support, business operations, coordination and follow-through. The ideal person should be comfortable managing multiple priorities, communicating with internal and external stakeholders, and taking ownership of tasks through completion.
Key Responsibilities
- Manage and prioritize meetings, calendars, follow-ups and action items.
- Monitor important emails and ensure pending items are followed through to closure.
- Coordinate with recruiting, HR, operations, finance, vendors and client teams.
- Track candidate submissions, interviews, feedback, onboarding and other staffing-related activities.
- Prepare and review professional emails, reports, trackers, presentations and business documents.
- Maintain clear action trackers for outstanding commitments, deadlines and dependencies.
- Coordinate meetings and interviews across India and U.S. time zones.
- Follow up proactively with internal and external stakeholders without requiring repeated reminders.
- Support client and vendor coordination and ensure requested information or documentation is provided on time.
- Prepare meeting notes, summaries and next-action lists.
- Help improve day-to-day processes and organization across the business.
- Handle confidential information with discretion.
Ideal Candidate
- 5–8 years of experience in business operations, PMO, executive support, consulting coordination, client operations or a similar role.
- MBA preferred.
- Excellent written and spoken English.
- Very strong organizational and follow-up skills.
- Comfortable managing multiple priorities simultaneously.
- Strong working knowledge of Outlook, Teams, Excel, Word and PowerPoint.
- Good business judgment and ability to understand priorities rather than simply execute instructions.
- Detail-oriented, dependable and comfortable working independently.
- hands-on attitude and willingness to handle both strategic and routine tasks.
- Experience supporting U.S.-based executives or clients would be an advantage.
- Comfortable using AI and productivity tools to improve efficiency.
What We Value
We are looking for someone who takes ownership, follows through, communicates clearly and makes sure things get done. The right person will become a trusted part of the leadership team and can grow into a broader Business Operations / Chief of Staff role over time.
