You're reliable before you're fast, but you're both. When a message comes in, you respond promptly because your workflow is organized, not because you're scrambling. When something breaks, you document what happened, assess the impact, and either fix it within your scope or escalate it with the right context so someone else can. You don't guess. You verify.
You're comfortable working across multiple tools and platforms simultaneously because you build routines around them. You don't need to be a technical expert, but when someone hands you a new system, you read the documentation, figure out how it fits into the existing workflow, and you're productive in it quickly.
You communicate clearly and precisely. You're not afraid to say "this doesn't match what the SOP says" or "I don't understand this step, can you clarify before I proceed?" You'd rather ask a question that feels obvious than let an error compound quietly.

We're a paid advertising agency that's been running for 8 years. We've grown from 20 to over 40 clients this past year, and our team of 9 operates fully remote across multiple time zones. We run on modern tools, AI-assisted workflows, and documented processes.
We invest heavily in training and systems. Every role has SOPs, playbooks, and clear performance metrics. We also give honest feedback. Quickly, directly, and without wrapping it in pleasantries.
Why this is an attractive position
You're not a virtual assistant who handles someone's calendar and books flights. You're the person who runs the day-to-day engine of a growing agency's client acquisition.
On a typical day, you'll manage client communication across multiple freelance platform profiles using AI-assisted workflows, responding to inbound inquiries, qualifying leads, and booking calls. Speed matters here. A lead that waits 2 hours for a reply is a lead that goes to someone else. You'll also run outreach following defined playbooks, keep our automation tools running and flag issues immediately when something breaks, track KPIs so the team knows what's working, manage the founder's client-facing calendar, and coordinate hiring when we're growing the team.
You'll work autonomously for part of your day and coordinate directly with the founder for the rest. The founder focuses on deep work and sales calls in the morning. You come online in the afternoon (CET) and take over the operational machine.
This role grows. The near-term is execution and platform operations. The medium-term is owning our full client acquisition and marketing operations end to end. If you prove you can run the systems, you'll get to shape them.
What we're looking for
You know what it means to be accountable with no one looking over your shoulder, to manage your own time, and to deliver because the outcome depends on you, not because someone is checking. That mindset is non-negotiable for this role.
Experience in operations, coordination, or senior VA roles, ideally at a digital marketing agency, lead generation company, or similar fast-paced remote business.
You're comfortable with AI tools and automation. Not building them, but using them reliably as part of daily workflows.
Strong written English is non-negotiable.
You'll be the first point of contact for potential clients, and your communication directly represents the business.
That's the core. Everything else we'll train.
Nice to have: experience managing KPIs or reporting dashboards, familiarity with hiring or candidate screening, background in project management or team coordination, experience working across multiple platform profiles simultaneously.
The details
**Hours:** Full-time, Monday-Friday
**Schedule:** 2:00 PM - 11:00 PM CET (8:00 AM - 5:00 PM EST) with a 1-hour break, plus rare flexibility for time-sensitive items outside this window
**Type:** Fulltime, Remote
**Compensation:** Competitive, based on experience. This role is budgeted to pay well. We're looking for someone strong, not someone cheap.
