Job Title: Operations Manager
Location: New Delhi

Role Summary
We are seeking a detail-oriented and proactive Operations Manager to oversee and streamline our logistics, artwork handling, inventory, and gallery maintenance. The ideal candidate needs to have experience in all aspects of operations: compliance related to national and international movement of art work, warehousing, transportation and overseeing packaging and storage.
Key Responsibility Areas
Knowledge of art related operations: In depth Awareness of processes involved in storage of artefacts. Types of art: Paintings, sculptures, installations, digital art, etc. Handling techniques: Proper ways to move, pack, and store artworks. Environmental control: Knowledge of ideal temperature, humidity, and lighting. Conservation awareness: Understanding risks of damage and deterioration.
1. Exhibition Support & Installations
● Planning and scheduling movements for all exhibitions, artfairs and shows all across Delhi, India and international in conjunction with the arts team, with rates and signed PO’s within timelines established by arts team
● Assist in planning and executing gallery installations, including layout, lighting, and display logistics
● Work with curators, artists, and technical teams to ensure timely and safe setup
● Source or coordinate fabrication of plinths, mounts, and display materials
2. Logistics & Artwork Movement
● Overseeing movements of all artworks for - exhibitions, fairs, artist movements, sales, viewings etc
● Coordinate with shipping manager for national and international shipping of artworks, including customs clearance, insurance, and ensuring documentation and files updating
● Coordinating with the accounts department for closure of import/export shipments
● Filing and updating daily e-way bills + delivery challans
● Liaise with transporters, art handlers for rate cards, costs and customs agents for secure for timely movement
● Maintain records of shipments and condition reports and flagging issues via reports and emails within 24 hours of damage occurring
● Ensuring monthly billing from vendors with correct supporting papers as mandated by company
● Coordinating with insurance company for claims
3. Inventory & Documentation
● Overseeing the maintenance of accurate and up-to-date inventory of artworks in the gallery’s database with the archive team
● Overseeing and ensuring artworks are barcoded/labelled correctly and stored as per conservation standards
● Update condition reports before and after transportation or exhibitions on google drive
4. Vendor Management
● Identify, onboard, and manage vendors for framing, shipping, packing, printing, and supplies for international and Indian vendors
● Negotiate contracts, obtain quotes, and ensure quality and timely delivery of services
6. Maintenance & Administration
● Ensure the gallery spaces and warehouses are clean, manicured, maintained with AMC’s upto date etc
● Working with admin exec/team to ensure safety of spaces + artworks not limited to water seepage etc
● Manage repairs, maintenance schedules, and procurement of office and exhibition supplies
● Overseeing stock and supplies of the gallery and timely ordering with proper paperwork for this.

Reporting to
Director of Operations
Ideal Candidate Profile:
· Graduate degree in Arts, Business, Logistics, or related fields
· 5-8 years of experience in operations/logistics, ideally in a gallery, museum, or creative space
· Strong organizational and problem-solving skills
· Strong knowledge of Indian Law compliances as well as international laws and compliances
· Ability to multitask and manage deadlines in a fast-paced environment
· Proficient in MS Office; experience with inventory or gallery management systems is a plus
· Comfort with handling fragile and high-value items with care
· Passion for the arts and sensitivity to working with creative professionals
