About KTIMF and MIST
KTIMF is driving the Museum of Innovation, Startup & Technology (MIST) — India's first museum dedicated to modern India's innovation and technology journey — structured as a public–private partnership between the Department of Electronics, IT & Biotechnology, Government of Karnataka, and UnboxingBLR.
Role Summary
The Operations Manager will own all paperwork and administrative coordination underpinning KTIMF's operations and the MIST project — spanning procurement and bid documentation, architecture and design coordination, government approvals, financial paperwork, and (as the project progresses) museum-specific operational records. This is a full-time, hands-on role reporting directly to the CEO.
Key Responsibilities
• Manage documentation for RFPs/tenders and maintain a master log of all procurement processes.
• Draft, track, and file vendor contracts, work orders, and purchase orders; maintain a contract register with key dates.
• Coordinate logistics for design reviews, site visits, and inspections — scheduling, minutes, and action-item tracking across KTIMF, DoIT-BT, and project partners.
• Prepare, compile, and track submissions for government approvals, and act as administrative liaison with DoIT-BT and other GoK departments.
• Process vendor and consultant invoices, verify against contracts/deliverables, and maintain an invoice/payment tracker in coordination with finance.
• Own KTIMF's day-to-day administration — filing, records retention, and document archiving (physical and digital).
• Coordinate board and management meetings — scheduling, agendas, minutes, and follow-up tracking.
• Track and ensure timely completion of KTIMF's statutory filings and compliance obligations, working with legal/company secretarial advisors.
Qualifications & Experience
• Bachelor's degree required
• 4-6 years in operations, project administration, or documentation-heavy coordination roles — experience with government-facing, PPP, infrastructure, or cultural institution projects preferred.
• Prior experience liaising with government departments for approvals and statutory compliance is a strong advantage.
Skills & Competencies
• Proactive and independent with high attention to detail.
• Strong written communication for correspondence with officials, vendors, and senior stakeholders.
