Job Summary
The Operations & Academic Coordination Manager is responsible for ensuring operational excellence and academic compliance across all centres. This role involves high-level oversight of facility management, student placement strategies, specialized training programs (Launchpad & Soft Skills), and examination department coordination. The ideal candidate will act as a critical link between various department managers and university officials to maintain institutional standards and student success.
Key Result Areas (KRAs)
1. Facilities Management Oversight
- Reporting & Review: Systematically collect and review regular operational reports from the Facility Manager.
- Financial Auditing: Conduct periodic audits of utility bills (electricity, internet, water, etc.) and review vendor payments and contracts to ensure cost-efficiency and compliance.
- Branch Quality Audits: Perform monthly or quarterly physical audits of all branches to ensure high infrastructure quality, cleanliness, maintenance standards, and strict adherence to safety norms.
- Problem Resolution: Take ownership of facility-related issues across all centers, ensuring timely and effective resolutions.
2. Placements Oversight
- Performance Monitoring: Review weekly and monthly reports from the Placement Manager to track student placement figures and internship acquisitions.
- Industry Relations: Monitor the growth of industry tie-ups and the expansion of the recruiter database to enhance career opportunities for students.
- Opportunity Tracking: Ensure a steady pipeline of internship and job opportunities across various disciplines.
3. Launchpad & Soft Skills Program Oversight
- Program Management: Review performance reports from the Launchpad & Soft Skills Manager.
- Strategic Batching: Oversee the segregation of student batches for specific training sessions and entrepreneurship services.
- Quality Assurance: Monitor student participation, engagement levels, and overall program effectiveness to ensure high-quality delivery of entrepreneurship (Launchpad) and soft skills training.
4. Examination Department & University Coordination
- Departmental Oversight: Review reports from the Examination Department Manager and oversee the segregation of batches for various examinations.
- Exam Execution: Ensure seamless scheduling and execution of exams while maintaining strict documentation and compliance with university norms.
- University Liaison: Act as the primary point of contact for university officials to handle approvals, resolve administrative issues, and manage the timely renewal of affiliations.
Required Skills & Qualifications
- Experience: 5–8 years of experience in academic operations, facility management, or a senior administrative role within the education sector.
- Regulatory Knowledge: Deep understanding of university compliance, examination protocols, and affiliation processes.
- Analytical Skills: Ability to interpret data from various departments to identify trends and operational bottlenecks.
- Leadership: Strong team management and coordination skills to handle multiple department managers across different locations.
- Communication: Excellent verbal and written communication skills for liaising with university officials and external vendors.
