Job Profile: Operations Manager – Freight Forwarding
Position Overview
The Operations Manager is responsible for overseeing end-to-end freight forwarding operations, from quotation and booking to shipment delivery. The role ensures smooth coordination with clients, carriers, internal teams, and vendors while managing a small operations team of 2–3 executives. The objective is to ensure timely execution, cost efficiency, compliance, and high customer satisfaction.
Key Responsibilities
1. Shipment Coordination & Execution
- Handle complete shipment lifecycle including quotation, booking, documentation, execution, and delivery.
- Coordinate with shipping lines, airlines, transporters, CHA, and overseas agents.
- Monitor shipment status and ensure timely movement and delivery.
- Resolve operational issues, delays, and exceptions promptly.
2. Quotation & Pricing
- Prepare competitive freight quotations for export and import shipments (Air & Sea).
- Negotiate rates with shipping lines, airlines, transporters, and vendors.
- Maintain rate database and update pricing regularly.
3. Documentation & Compliance
- Supervise preparation and verification of shipping documents such as:
- Bill of Lading (BL)
- Air Waybill (AWB)
- Commercial Invoice
- Packing List
- Shipping Bill
- Delivery Orders
- Ensure compliance with customs regulations and international trade requirements.
4. Team Management
- Lead and supervise a team of 2–3 operations executives.
- Allocate work, monitor performance, and ensure operational efficiency.
- Provide guidance and training to improve team productivity.
5. Customer Coordination
- Act as the main point of contact for clients regarding shipment updates.
- Maintain strong relationships with clients and overseas agents.
- Ensure timely communication and high level of customer satisfaction.
6. Vendor & Agent Coordination
- Coordinate with transporters, CHA, shipping lines, airlines, and overseas partners.
- Maintain strong relationships for smooth operations and better pricing.
7. Reporting & MIS
- Maintain shipment records and operational reports.
- Track shipment profitability and operational performance.
- Report operational status to management regularly.
Required Qualifications
- Bachelor’s degree in Logistics, Supply Chain, Commerce, or related field.
- 3–4 years of experience in freight forwarding operations (Air & Sea).
- Experience handling end-to-end shipment operations independently.
- Experience managing a small team is preferred.
Required Skills
- Strong knowledge of freight forwarding operations (Import & Export)
- Knowledge of shipping documentation and customs procedures
- Good negotiation and vendor management skills
- Strong communication and coordination abilities
- Problem-solving and decision-making skills
- Ability to work under pressure and meet deadlines
- Proficiency in MS Excel, email communication, and freight software
