The Operations Manager – Staffing & Account Operations is responsible for managing day-to-day operational activities across staffing accounts, ensuring smooth coordination between consultants, clients, internal delivery teams, payroll, and finance.
This role focuses on operational efficiency, workforce management, timesheet compliance, billing coordination, and process improvements. The Operations Manager will support client accounts by ensuring accurate time tracking , reporting, and operational excellence.
The ideal candidate should have 4–8 years of experience in Billing & Invoicing, recruitment coordination, or workforce management, with strong attention to detail and stakeholder management skills.
Responsibilities
Staffing Operations Management
- Manage operational activities across assigned client accounts.
- Support recruitment delivery teams to ensure timely fulfilment of open positions.
- Track fulfilment metrics and provide operational support to improve hiring outcomes.
- Assist in coordinating hiring demand and workforce planning.
Workforce & Resource Management
- Maintain consultant/contractor records in internal systems.
- Track assignment start dates, extensions, and contract updates.
- Ensure all consultant documentation and compliance records are maintained.
Timesheet Management
- Monitor weekly and monthly timesheet submissions from the team.
- Ensure timely approvals from managers and clients.
- Validate timesheets against contract terms and billing agreements.
- Follow up on missing or incorrect entries to maintain high compliance.
Billing Coordination
- Work closely with finance and internal teams to ensure accurate invoicing and billing.
- Assist in resolving discrepancies related to hours worked, billing rates, or approvals.
- Support month-end billing cycles and approvals.
- Prepare billing and timesheet reports.
Client & Internal Coordination
- Act as a coordination point between consultants, account managers, finance, payroll, and client teams.
- Address operational queries related to timesheets, contracts, and assignments.
- Escalate issues related to delays, compliance, or billing discrepancies when required.
Reporting & Operational Insights
- Generate weekly and monthly operational reports.
- Track consultant utilization and billing metrics.
- Identify operational bottlenecks and recommend improvements.
- Maintain dashboards for timesheet compliance and account performance.
Process Improvement
- Identify opportunities to improve operational workflows and reporting processes.
- Support automation and efficiency initiatives across staffing operations.
- Ensure adherence to internal processes and client requirements.
Qualifications
- 3–5 years of experience in staffing operations, recruitment coordination or account operations.
- Experience managing consultant accounts, timesheets, and billing coordination.
- Strong proficiency in Microsoft Excel and reporting tools.
- Good understanding of billing cycles, payroll coordination, and revenue tracking.
- Strong communication and stakeholder management skills.
- Experience working with staffing or Billing experience is preferred.
