What you'll own
1. Build & Run the Order Operations System
- Own the daily order lifecycle end to end - from Shopify order to dispatch to delivery confirmation
- Manage Shiprocket checkout portal and Bluedart/eShipz tracking dashboards - ensure every order is labelled, manifested, and dispatched same-day
- Set up and manage COD confirmation workflows - build a system using SMS, automated calls, and WhatsApp (via Angoor AI or similar) so COD orders are confirmed before dispatch without manual calling
- Track order status across all couriers - identify stuck/undelivered/lost shipments, escalate proactively
2. RTO Identification & Stock Recovery
- Monitor Bluedart and Shiprocket tracking data daily - flag "consignee refused", "addresincorrect", "not available" patterns
- Identify incorrect or disputed RTOs - challenge wrongful RTOs with courier partners, don't accept every return at face value
- Ensure every RTO shipment physically returns to warehouse - reconcile returned stock against tracking records, zero tolerance for stock leakage
- Feed RTO patterns back into pincode blocking and COD restriction decisions
3. Inventory Management Across Channels
- Own Zoho Inventory - assemblies, kitting records, stock-in/stock-out, purchase orders
- Track stock at third-party locations (Primarc warehouses - Bangalore, Gurgaon, Bhiwandi) - ensure dispatched quantities match PO, GRN is taken on time, no discrepancies between what was sent and what's on Amazon
- Manage Amazon/Primarc order lifecycle - PO fulfilment, kitting, dispatch, GRN appointments, inventory counts at seller end
- Weekly reconciliation: Shopify inventory + Amazon/Primarc inventory + physical warehouse count - flag any mismatch immediately
4. B2B Dispatch & Marketplace Coordination
- Own Primarc PO dispatch process - carton packing per PO spec, Zoho manual order creation, invoice generation, porter/Bluedart booking
- Coordinate with Primarc contacts (Ashvinder, Tarun, Avinash) on delivery scheduling, GRN confirmations
- Track B2B invoices - verify amounts, flag delays
5. Set Up Ops Automation & MIS
- Build automated daily/weekly MIS dashboards - orders received, pending dispatches, payments received, payments pending, RTO rate, COD confirmation rate
- Identify and implement workflow automations - dispatch alerts, courier status updates, low-stock triggers
- Support detail verification for accountant - pull data from Zoho, Shopify, and courier portals as needed for GST compliance and statutory filings. You don't do the accounting - you ensure the data going to the accountant is clean and complete.
6. Warehouse Team Oversight
- Manage the warehouse team's daily output - kitting, packing, label pasting, dispatch
- Ensure SOPs are followed - packing standards, label placement, manifest filing, courier pickup sign-off
- Track team attendance, punctuality, and output
7. Payment Reconciliation
- Reconcile order-level payments across all gateways — Cashfree, Razorpay, Bluedart COD remittances, Shiprocket COD, Snapmint, Manual UPI
- Match every Shopify order to its corresponding settlement — flag unmatched or missing payments
- Track COD remittance cycles from Bluedart — verify weekly remittance files against dispatched COD orders, chase missing or short remittances
- Maintain a clean, up-to-date reconciliation tracker — status of every order (settled, pending, disputed, unmatched)
- Feed verified payment data to accountant for Zoho Books entries — you don't do the bookkeeping, but you ensure the source data is airtight
8. Inventory Rotations
- Monitor stock aging across warehouse and third-party locations — flag slow-moving
- Ensure FIFO is followed at warehouse — older batches ship first, no expired or aging stock sitting behind fresh inventory
- Track channel-wise stock allocation — balance D2C vs Amazon/Primarc inventory based on sell-through velocity
- Flag reorder triggers — when SKU stock hits threshold, initiate procurement or kitting in advance
- Coordinate with Primarc on rotation at their warehouses — if stock is sitting idle at one FC (say Bhiwandi) while another (Gurgaon) is running low, recommend transfers
Who you are
- Engineers - someone who thinks in systems, not just tasks
- 1 - 3 years in D2C operations, ecommerce backend, or supply chain
- Hands-on with Shopify admin, Zoho Inventory, Shiprocket, Bluedart/eShipz - or can pick them up in week one
- Comfortable building SOPs, dashboards, and automations from scratch - you're joining a startup, not inheriting a playbook
- Strong Excel/Sheets skills - pivot tables, lookups, data cleaning are second nature
- Can deal independently with courier partners, warehouse teams, and marketplace contacts
- Comfortable in a sensitive product category - absolute discretion required
