Insignia Shipping Services is a global shipping and logistics company providing comprehensive maritime solutions across Port Agency Services, Freight Forwarding, Shipping & Logistics, and Marine Procurement.
Our Global Operations Centre in Mumbai supports vessel operations and coordination activities worldwide, working closely with vessel owners, charterers, naval authorities, port agents, and service providers across multiple regions.
We are looking for a proactive and detail-oriented Operations Executive to join our growing maritime operations team.
Key Responsibilities
- Handle day-to-day operational activities related to:
- Port Agency Services
- Owners Protective Agency
- Charterers Protective Agency
- Navy and Defence Vessel Port Calls
- Coordinate with global port offices, local agents, vendors, terminals, customs authorities, and maritime stakeholders.
- Monitor vessel movements, port call status, berthing schedules, cargo operations, and turnaround activities
- Prepare and manage operational documentation, including:
- PDA/FDA
- Port disbursement accounts
- SOF (Statement of Facts)
- Operational updates
- Husbandry arrangements
- Vendor quotations and approvals
- Liaise with ship owners, charterers, masters, and overseas principals to ensure smooth vessel operations.
- Coordinate services such as:
- Crew changes
- Bunkering
- Fresh water supply
- Launch services
- Ship spares clearance
- Cash to Master
- Protective agency requirements
- Support naval and government vessel calls while maintaining confidentiality and operational compliance.
- Maintain accurate operational records and timely reporting to management and clients.
- Ensure high service standards, quick response times, and effective issue resolution.
- Negotiate with vendors and service providers to obtain competitive pricing and efficient service delivery.
Desired Candidate Profile
- Bachelor’s degree in Shipping, Logistics, Maritime Studies, Commerce, or related field
- 2 to 5 years of experience in:
- Port Agency Operations
- Shipping Operations
- Vessel Handling
- Maritime Logistics
- Prior experience handling protective agency work or navy vessel operations will be an advantage
- Strong understanding of vessel port call procedures and maritime documentation
- Excellent communication and coordination skills
- Ability to work in a fast-paced 24/7 maritime environment
- Strong problem-solving mindset and attention to detail
- Proficiency in MS Office, email communication, and operational reporting
- Willingness to work flexible hours based on vessel operations and global time zones

Working Conditions
