Key Responsibilities
Payroll and Finance Administration
- Coordinate monthly salary disbursements for team members with the company CA and current account. Ensure salaries are processed accurately and on time every month.
- Maintain monthly payroll records — salary sheets, deduction statements, and TDS certificates for each employee.
- Track employee bank account details, PAN numbers, and salary structure documents. Keep all records updated and secure.
- Coordinate with the CA for monthly TDS filings, quarterly GST returns, and annual compliance tasks.
- Manage petty cash, office expense reimbursements, and vendor payment tracking.
- When Razorpay subscription billing goes live, manage customer invoice generation, payment reconciliation, and outstanding payment tracking.
Office and Vendor Administration
- Manage the day-to-day running of the Gurugram office or co-working space — supplies, equipment, internet, utilities, housekeeping coordination.
- Maintain an asset register for all company equipment (laptops, monitors, peripherals). Track who has what, when it was purchased, and warranty status.
- Liaise with vendors — co-working space management, internet provider, equipment suppliers, printing vendors. Get quotes, compare, and present recommendations.
- Handle courier, document dispatch, and any physical paperwork that needs to be signed, scanned, or filed.
- Manage company SIM cards, software subscriptions, and any recurring service payments.
CEO Support and Scheduling
- Manage the Founder & CEO's calendar — schedule investor meetings, developer meetings, team reviews, and external appointments. Send reminders and follow up confirmations.
- Prepare meeting agendas, take structured meeting notes, and follow up on action items with team members.
- Draft and send routine emails on behalf of the CEO — meeting confirmations, document requests, follow-up reminders. Always under the CEO's review for important communications.
- Coordinate investor and director communication — scheduling board calls, sharing documents, and preparing meeting packs.
- Maintain a CEO task tracker and ensure nothing falls through the cracks. If a deadline is approaching and the CEO has not acted, it is your job to flag it.
HR and People Administration
- Maintain employee files for all team members — offer letters, employment agreements, KYC documents, educational certificates, and bank details. All documents must be organised, complete, and accessible.
- Track leave records for all employees. Maintain a leave register and share monthly leave summaries with the CEO.
- Coordinate new joiner documentation — collect documents, set up email accounts, share access to required systems.
- Support employment verification requests when needed.
- Maintain confidentiality on all salary and employee information at all times.
Who We Are Looking For
Essential
- B.Com, BBA, or any graduate with 1–2 years of experience in an EA, office administration, or operations role.
- Strong proficiency in Microsoft Excel or Google Sheets — you will use spreadsheets daily for payroll records, vendor tracking, and task management.
- Comfortable with basic accounting software — Zoho Books, QuickBooks, or Tally. You do not need to be an accountant, but you need to understand how to enter and track transactions.
- Excellent written Hindi and English communication. You will draft emails and prepare documents in both languages.
- Highly organised with strong attention to detail. You will manage sensitive records and the CEO's calendar — errors are not acceptable.
- Absolute discretion. You will handle payroll data, investor information, and financial records that are strictly confidential.
- Proactive mindset. You do not wait to be asked. You see what needs to be done and you do it.
- Based in Gurugram or willing to commute. Hybrid work — 3 days in office per week.
Preferred (nice to have, not required)
- Previous experience working at a start-up or SME (not a large corporate). Start-up pace is different and previous experience helps enormously.
- Experience in real estate, Prop-Tech, or financial services.
- Familiarity with Razorpay, or basic GST compliance processes.
- Experience managing vendor contracts and purchase orders.
