Role Overview
We are looking for a highly organised, proactive, detail-oriented Executive Assistant to support the Founder / Gallery Director of a new art gallery currently in its setup and pre-launch phase.
This is not a routine desk assistant role. The ideal candidate will act as a trusted execution partner who can help translate ideas into action, coordinate multiple moving parts, and bring structure to a fast-evolving creative business. The Executive Assistant will support the Founder across administration, scheduling, project coordination, gallery setup, vendor follow-ups, communication, documentation, operations, launch preparation, and day-to-day management.
This role is ideal for someone who is extremely dependable, discreet, polished, efficient, calm under pressure, and comfortable working in a startup-style environment where no two days look the same.
Key responsibilities include:
* Managing schedules, meetings, reminders, and follow-ups.
* Coordinating with vendors, contractors, artists, and external partners.
* Tracking gallery setup timelines, tasks, and deliverables.
* Maintaining records, quotations, invoices, contracts, and documentation.
* Assisting with launch planning, events, and day-to-day operations.
* Creating structure, trackers, systems, and administrative workflows.
* Supporting the founder in ensuring smooth execution across all ongoing projects.
* Assist the founder by collecting, organising, and presenting useful information.
Required Skills:
* Strong organisation and time management
* Excellent written and spoken English
* Professional communication on email, phone, and WhatsApp
* Strong follow-up discipline
* Good Excel / Google Sheets / Docs / Drive / PowerPoint
* Ability to maintain trackers, schedules, and records
