Operations Coordinator (Freelance / Part-Time – ~10 hrs/week)
Location: Remote (Must be able to work in Detroit / Eastern Time)
Time Commitment: ~10 hours per week to start
Reporting To: Founder / Principal
About the Role
We’re looking for a sharp, proactive Operations Coordinator to support client delivery and internal execution.
This is a freelance / part-time role (~10 hours per week) designed for professionals who want to take on a small, high-impact role alongside their existing job or consulting work.
The role focuses on bringing structure, tracking execution, and ensuring follow-through across client engagements and internal operations.
You will work closely with the Founder / Principal to support client-facing execution, performance tracking, and internal operational systems.
Over time, as trust and workload grow, this role can naturally expand in scope or transition into a larger part-time or full-time position.
Key ResponsibilitiesClient-Facing Execution (Primary Focus)Client onboarding & setup
• Coordinate initial client data collection and setup
• Support dashboard configuration and operating cadence alignment during onboarding
Performance management & operating rhythm
• Build, maintain, and update performance dashboards
• Support weekly and monthly operating meetings (scorecards, action tracking, follow-ups)
• Track commitments, owners, timelines, and outcomes
Continuous improvement & execution support
• Monitor client initiatives and surface execution risks or gaps early
• Perform light data cleaning, structuring, and validation
• Support clients in moving from insights to clear next steps and accountability
Process excellence
• Help document and map current-state processes
• Support redesign of more efficient future-state workflows
• Create simple templates, checklists, and SOPs to support adoption
• Audit adherence to agreed processes and flag gaps for coaching
Internal Operations Support
• Track internal priorities and initiatives to keep focus on high-impact work
• Support development and organization of internal tools, templates, and diagnostics
• Assist in maintaining content and marketing calendars
• Coordinate follow-through on publishing and internal deadlines
• Identify opportunities to improve internal workflows, tools, and operating cadence
What Success Looks Like
• Clients feel supported, organized, and confident in execution
• Dashboards, scorecards, and action items are consistently up to date
• Meetings run smoothly with clear follow-ups and accountability
• Founder gains leverage and focus as operational load is delegated
• Role naturally expands in scope as trust and workload increase
Ideal Candidate Profile
• 3–5 years experience in operations, founder’s office, EA, project coordination, or consulting support roles
• Strong written and verbal communication skills
• Comfortable working directly with clients and senior stakeholders
• Highly organized with strong follow-through and attention to detail
• Confident working independently with minimal supervision
• Comfortable with data, dashboards, and basic analysis
• Experience with tools like Google Workspace, Notion, Airtable, Excel, or similar
Excel Requirements (Important)
This role requires strong Excel capability.
The ideal candidate should:
• Be very strong in Excel
• Be comfortable writing and troubleshooting complex formulas
• Be able to clean, structure, and compute values from raw data
• Have experience pulling the right metrics from messy datasets
• Be confident using Excel independently with minimal guidance
