Job Title: Operations Associate, Renewable Programs

Position Summary:
The Renewables Operations Associate is responsible for executing high-volume renewable energy program administration activities across multiple mature, unchanging state programs. This role manages registry and state portal submissions, transfer requests, change-of-ownership transactions, case triage, customer and installer follow up, campaign execution, escheatment and payment-verification outreach, documentation review, customer service and other operational tasks. Application processing responsibilities are limited to established, repeatable state programs; application work for new or evolving programs remains with Managed Solutions. The position requires strong attention to detail, process discipline, and the ability to manage a significant volume of tasks while maintaining accuracy and responsiveness to customers.
Responsibilities:
- Application Processing & Program Administration
Review and validate incoming applications for established, repeatable state programs, manage missing-information follow-up with clients, installers, and program administrators, and submit to state programs and the GATS tracking registry, and track approvals through completion. New or evolving program application work remains with Managed Solutions.
Execute transfers, monitor registry status, coordinate approvals, manage follow-up, and confirm payment/reporting readiness before completion.
- Change of Ownership Administration
Coordinate ownership changes, collect documentation, manage state/registry approvals, resolve ownership and payment allocation issues, and maintain trackers.
- Customer Service & Case Management
Triage unassigned or unresolved cases, research customer records, route inquiries, respond to customer services inbound emails/cases and phone calls, and document outcomes.
- Campaign Execution, Escheatment & Outreach
Execute email, phone, and direct-mail response workflows, including escheatment and payment/banking verification outreach; respond to campaign inquiries; and track follow-up actions.
- Operational Tracking & Compliance
Maintain trackers, logs, status documentation, deadlines, audit trails, and data integrity across systems.
Detailed Responsibilities By Category 2. Transfer Management
- Application Processing & Regulatory Program Administration Summary: Manage day-to-day application administration for established repeatable state renewable energy programs and registries; application work for new or evolving programs remains with Managed Solutions.
- Review new applications for completeness, accuracy, and program compliance.
- Validate required documentation such as Schedule A forms, utility permission-to-operate documentation, certificates of completion, facility photos, meter photos, installer information, and other market-specific records.
- Submit applications to the applicable registry, state program administrator, or portal, including GATS and state specific websites.
- Manage needs-info requests by identifying missing or incorrect documentation, communicating what is required, and following through until the application can move forward.
- Track applications from initial review through program approval, certification issuance, registry submission, and final processing.
- Application development and administration for new, non-repeatable, or first-in-market programs remains with Managed Solutions (e.g., the Senior Associate - Renewables) and is out of scope for this role.
- Coordinate with installers, homeowners, state administrators, and registries to resolve application questions or discrepancies.
Summary : Administer facility transfers into and out of company aggregation and registry accounts.
- Process transfer-in requests by validating customer information, registry IDs, system details, state certifications, and supporting application data.
- Initiate and monitor registry transfer requests, including transfer approvals from counterparties, aggregators, customer-owned accounts, or registry administrators.
- Provide customers with instructions when their action is needed to approve a transfer.
- Track pending transfers and perform follow-up with customers, aggregators, registries, or internal stakeholders until transfers are complete.
- Support transfer-out workflows, including customer confirmation and retention efforts and approval of registry transfer requests after required checks are complete.
- Confirm that reporting, REC processing, and payments are appropriately handled before closing or transferring facilities.
- Maintain transfer trackers, notes, status updates, and documentation of customer outreach and decisions.
3. Change of Ownership Administration
Summary: Manage ownership changes resulting from home sales, estate matters, divorce, or other ownership transitions.
- Collect and review required change-of-ownership documentation from current owners, new owners, and other involved parties.
- Verify signatures, account setup, closing documents, Schedule A forms, GATS ownership transfer forms, state required forms, and supporting records.
- Request additional documents when required, such as death certificates, divorce decrees, or other ownership related documentation.
- Coordinating with customers when old or new owner contact information is incomplete or difficult to obtain, including mailer-based outreach when needed.
- Submit ownership changes to applicable state programs and registries and monitor approval through each required entity.
- Assess REC reporting and payment issuance before completing ownership transfers, including situations where payments or RECs may belong to different parties.
- Help facilitate resolution between parties when funds, production months, or payment allocations require clarification.
- Maintain detailed change-of-ownership trackers with names, addresses, missing items, completion status, review dates, and initials or ownership of follow-up steps.
- Perform document preparation tasks such as PDF editing, form completion, and file compression when required for registry or portal submission.
4. Customer Service & Case Management
Summary: Triage and resolve incoming operational inquiries across email, phone, website, and partner channels.
- Monitor unassigned or unresolved customer-service queues and GATS outreach folder to determine the
- appropriate routing, market, or ownership of each case.
- Research customer records using available account details such as name, email address, phone number, system owner information, system manager information, address, voicemail transcript, and attachments.
- Respond directly to inquiries, via phone and/or email, related to applications, transfers, change-of-ownership workflows, reporting access, campaign questions, or documentation requests in established supported markets.
- Ensure receipt of automated outreach to client base, including, but not limited to, researching and resending emails that were undeliverable.
- Open and review attachments, returned emails, voicemail transcripts, and system records to identify the right customer or market path.
- Document customer interactions, case decisions, follow-up steps, and resolution notes in the applicable systems.
5. Campaign Execution, Escheatment & Customer Outreach
Summary: Execute customer outreach campaigns and support responses generated by email, phone, and direct-mail activity, including escheatment and payment/banking verification outreach.
- Send campaign emails and make outbound campaign-related phone calls using approved messaging and process guidance.
- Respond to customer inquiries generated by direct mailers, email campaigns, or phone outreach.
- Track campaign responses, follow-up requirements, and customer outcomes.
- Support customer retention and re-engagement efforts through consistent outreach and documentation.
- Monitor accounts approaching state escheatment or unclaimed-property deadlines and complete required customer outreach before funds are reported to the state as unclaimed.
- Identify accounts where the bank account name on file does not match the registered facility or system owner name; call and/or email customers to verify ownership and obtain corrected banking information before payment is released.
- Confirm final payments are issued and future payments are stopped once an account closes, transfers, or is escheated, consistent with state and market-specific requirements.
- Document escheatment outreach, ownership/banking verification calls, and outcomes in the applicable tracker to support compliance and audit requirements.
- Coordinate with Managed Solutions leadership on campaign analysis or strategy when design, prioritization, or market interpretation is required.
6. Operational Tracking, Documentation & Compliance
Summary: Maintain reliable tracking, follow-up discipline, and data integrity across high-volume workflows.
- Update operational trackers, logs, queues, and status reports for applications, transfers, change-of-ownership cases, lien continuations, and campaign activity.
- Track expiration dates, follow-up dates, missing information, approval status, and completion steps.
- Maintain accurate notes documenting customer outreach, registry actions, approvals, escalations, and pending items.
- Ensure documentation is complete, organized, and suitable for audit, review, or handoff.
- Follow internal process standards and market-specific rules to support regulatory compliance and operational quality.
- Identify recurring process issues, bottlenecks, or documentation gaps and raise improvement opportunities to Managed Solutions leadership.
Required Qualifications:
- 2+ years of experience in operations, program administration, transaction processing, customer service, compliance support, or a related function.
- Strong attention to detail and the ability to accurately review forms, documents, customer data, and system records.
- Ability to manage high-volume, process-driven work with consistent quality and follow-through.
- Strong written and verbal communication skills, including the ability to explain missing information or process steps clearly to customers and installers.
- Comfort working across multiple systems, portals, trackers, and databases.
- Proficiency with Microsoft Office tools, especially Excel or similar tracking tools.
- Ability to investigate incomplete information, identify the right market or customer record, and make sound routing decisions.
- Organized, dependable, and comfortable managing multiple open items and deadlines.
- Comfort making outbound verification calls to customers regarding account, ownership, or payment discrepancies, such as mismatched bank account names.
Preferred Qualifications
- Experience in renewable energy, solar, clean energy programs, environmental commodities, utility programs, or regulated market operations.
- Experience using Salesforce or another CRM/case management system.
- Experience with registry, state portal, or compliance-based submission workflows.
- Experience interacting with customers, installers, utilities, program administrators, or third-party vendors.
- Familiarity with operational controls, audit trails, and tracker-based workflow management.
- Experience with escheatment, unclaimed property compliance, or payment/banking verification processes.
