About the role:
We are looking for a highly proactive, business-minded, and finance-oriented Executive Assistant to support end-to-end activities related to our project site operations in Kancheepuram. The ideal candidate should be capable of handling responsibilities from A–Z, coordinating with stakeholders, managing schedules, supporting financial and operational activities, and representing management when required.
This role requires someone who is organized, people-oriented, adaptable, and comfortable traveling for meetings, events, and site-related activities.
Key Responsibilities:
1) Execution and Administration support
- Manage day-to-day activities related to the Kancheepuram project site.
- Maintain and organize management calendars, meetings, appointments, and travel schedules.
- Coordinate internal and external communications on behalf of management.
- Prepare MOMs, reports, presentations, and follow-up trackers.
2) Business and Financial Coordination
- Support financial tracking, budgeting, expense coordination, and business documentation.
- Coordinate with finance, accounts, auditors, consultants, and vendors when required.
- Maintain records related to project operations, invoices, approvals, and business correspondence.
- Assist management with business analysis, planning, and operational follow-ups.
3) Stakeholder Management
- Build and maintain strong professional relationships with clients, vendors, consultants, government authorities, and other stakeholders.
- Represent management in meetings and ensure proper follow-up on discussions and action items.
- Handle communication with multiple stakeholders in a professional and timely manner.
4) Travel Coordination
- Travel along with management for meetings, conferences, project visits, and events whenever required.
- Coordinate logistics, schedules, accommodations, and event planning activities.
- Ensure smooth coordination during business visits and external engagements.
5) Strategic Support
- Identify gaps in operations and proactively assist in resolving them.
- Coordinate across departments to ensure timelines and commitments are met.
