As we scale, we're looking for a detail-oriented and proactive Operations Associate to help keep everything running smoothly.
Role Overview The Operations Associate is the backbone of day-to-day operations at Kinetic Age. You will coordinate client scheduling, manage administrative processes, and support our physiotherapists so they can focus entirely on delivering great care. This is a hands-on role requiring someone who is organised, communicative, and comfortable juggling multiple priorities in a fast-paced, service-driven environment.
Key Responsibilities
Client Management
- Manage appointment scheduling, confirmations, and reminders across all channels
- Oversee the end-to-end client journey from initial enquiry to ongoing care
- Handle client queries professionally in person, over the phone, and via messaging
- Coordinate trial session bookings and ensure smooth conversion to regular plans
Administration
- Maintain accurate client records and update the business management software
- Process billing, payments, and documentation where applicable
- Track renewals, packages, and follow up on lapsed or at-risk clients
- Prepare daily, weekly, and monthly operational reports for the Ops Manager
Team & Logistics Support
- Coordinate schedules and travel availability across physiotherapists and support staff
- Manage inventory of equipment and supplies and place orders as needed
- Support onboarding of new clients and assist in training junior administrative staff
- Ensure all operational processes are documented and consistently followed
What We're Looking For
Essential
- 1-3 years of experience in an administrative, operations, or customer-facing role
- Strong organisational skills with excellent attention to detail
- Clear and professional communication - written and verbal
- Comfortable with technology: scheduling tools, spreadsheets, and messaging platforms
- Ability to stay calm and prioritise effectively under pressure
Preferred
- Prior experience in a healthcare, wellness, or lifestyle services setting
- Familiarity with business management or CRM software
- Demonstrated ability to follow and improve structured SOPs
