🎯 About the Role
Aroza Event Center (California, USA) is seeking a highly organized Remote Operations Coordinator to support our U.S.-based event operations team.
This role is ideal for someone with event management/banquet operations experience who understands how events run behind the scenes and can manage systems, vendors, and execution timelines efficiently.
🔥 Core Focus Areas
✅ HubSpot CRM Management (Non-Negotiable)
You will be responsible for:
- Managing leads, bookings, contracts, and payments inside HubSpot
- Tracking pipelines and updating deal stages accurately
- Generating weekly reports on leads, bookings, revenue & performance
Strong working knowledge of HubSpot is REQUIRED.
✅ Event & Banquet Operations Support
We are specifically looking for someone who understands event management operations, including:
- Vendor coordination (DJs, decorators, catering partners)
- Managing communication between the team and vendors
- Linen tracking, catering supplies & banquet utilities
- Menu planning support & buffet setup coordination
- Staffing schedules for events
- Cleaning timelines & venue readiness checks
- Invoice creation & financial tracking to reduce operational waste
Event/banquet operations experience is strongly preferred.

- ✔ Proven experience using HubSpot CRM (mandatory)
- ✔ Excellent English communication (written & verbal)
- ✔ Ability to work strictly in California (PST) time zone
- ✔ Highly organized and detail-oriented
- ✔ Proactive problem solver
- ✔ Event management/banquet experience preferred
