We are looking for smart, efficient, and highly organized professionals to support the Chief Operating Officer in driving operational excellence across the organization. The role involves cross-functional coordination, governance of reviews, tracking organizational performance, and supporting leadership in execution of key initiatives.
Position: Operations Assistant
Function: Operations Management
Reporting To: Chief Operating Officer
Location: Thiruvananthapuram, India.
Education: Bachelor’s degree
Experience: 2-3 years
Key Responsibilities
- Coordinate and schedule weekly review meetings with heads of various divisions (HR, Training, Admin, System Administration, Accounts, Design, Quality, Project Management, Testing, Technical Writing, Support, etc.)
- Prepare meeting agendas in consultation with the COO
- Review and standardize presentations (PPTs) to ensure clarity, completeness, and consistency across functions
- Attend review meetings and prepare detailed Minutes of Meeting (MoMs)
- Circulate MoMs and ensure timely follow-up and closure of action items
- Maintain a centralized tracker for all action items and escalate delays where required
- Prepare and maintain MIS reports and dashboards for organizational performance tracking
- Analyze data, identify trends, and highlight risks, delays, and key insights to the COO
- Support preparation of leadership reviews, reports, and presentations
- Act as a coordination point across departments to resolve interdependencies and ensure alignment
- Track progress of key organizational initiatives and projects
- Ensure adherence to timelines and highlight deviations proactively
- Assist in documenting processes, SOPs, and improving operational workflows
- Drive standardization of reporting formats, KPIs, and review mechanisms
- Support quality and compliance tracking across departments
- Draft professional correspondence including reports, emails, and official communication
- Support internal communication and ensure clarity in messaging from leadership
- Maintain organized documentation and repositories of reports, decisions, and key records
- Provide day-to-day operational and administrative support to the COO
