About the Role
Katonic AI is hiring a Company Operations Administrator to join our Operations & Administration team. This is a fully remote role based in India. You will be the operational backbone of the company, coordinating across HR, Finance, Legal, and Leadership to ensure smooth day-to-day operations as Katonic AI scales globally.
You will own and streamline core operational workflows, from invoice processing and vendor management to compliance tracking, HR coordination, and internal documentation. This role requires strong organizational skills, as you will work across multiple functions, geographies, and time zones to keep the company running efficiently.

Key Responsibilities
HR & People Operations Coordination
- Coordinate with the HR team on onboarding and offboarding processes, ensuring all documentation, access provisioning, and compliance steps are completed
- Assist with maintaining employee records, leave tracking, and HR documentation in an organized and audit-ready manner
- Support recruitment coordination including interview scheduling, candidate communication, and offer letter preparation
- Help administer employee benefits, insurance enrolments, and policy updates
- Finance & Invoice Management
- Process and track vendor invoices, expense reimbursements, and payment requests, coordinating with the finance team for timely approvals and disbursements
- Maintain accurate records of purchase orders, contracts, and financial documentation
- Assist with monthly reconciliation activities and preparation of financial reports as needed
- Coordinate with external vendors, service providers, and consultants on billing and contract renewals
Legal & Compliance Support
- Assist the legal processes with contract management, NDA tracking, and document organization
- Maintain a compliance calendar and ensure timely filing of regulatory and statutory obligations (GST, ROC, labour law filings, etc.)
- Track and organize corporate governance documents, board resolutions, and policy records
- Support due diligence processes and data room management for fundraising or partnership activities
General Company Operations
- Serve as the central coordination point for cross-functional operational workflows between HR, Finance, Legal, and Leadership
- Manage and maintain internal tools, subscriptions, software licenses, and vendor relationships
- Create and maintain standard operating procedures (SOPs) and process documentation for operational workflows
- Coordinate logistics for company events, offsites, team meetups, and travel arrangements
- Identify inefficiencies in existing processes and recommend improvements to streamline operations
- Provide regular reporting to leadership on operational health, pending action items, and compliance status
Required Qualifications
- Bachelor's degree in Business Administration, Commerce (B.Com), BBA, or a related field
- Freshers or candidates with up to 1 year of experience in operations, administration, or coordination roles are welcome to apply
- Good organizational skills with the ability to handle multiple tasks at the same time and meet deadlines
- Attention to detail, especially when handling invoices, compliance records, and documentation
- Good written and verbal communication skills in English
- Willingness to learn and take ownership of tasks across HR, finance, and compliance functions
Preferred Qualifications
- Internship or project experience in office administration, startup operations, or finance/accounting support
- Basic awareness of GST, TDS, or general statutory compliance in India
- Familiarity with any HRIS/expense management platform
- Interest in working at an growth-stage technology startup
