Performs difficult skilled administrative support work accomplishing the specialized processing of information, documents or materials, and related work as apparent or assigned. Work is performed under the general direction of the Processing Unit Supervisor.

Position Duties

- Prepare patient charts and gather information and documents based on patients’ appointment reasons
- Maintain and track all incoming and outgoing referrals in the referral tracker spreadsheet.
- Works closely with administration and staff to support the requests from patients and outside entities with obtaining records to support the patient’s care.
- Retrieve, collect and prioritize all requests for medical records made through the organization, patients, and affiliates.
- Record and track all records requests, releases, and authorizations within the Electronic Medical Record
- Complete clerical duties including answering phones, responding to emails, and processing patient records requests in a timely manner.
- Serves as a backup to appointments and registration.
- Performs assigned functions as a Disaster Ready Team (DRT) member, if appointed, or volunteer.
- Performs related duties as required.

Minimum Qualifications
Significant knowledge of office or work unit procedures, methods, and practices. Significant knowledge of and ability to use correct grammar, vocabulary, spelling, and office terminology to compose and/or proofread correspondence, reports, and other materials. Significant knowledge of accounting procedures, mathematics, and their application in the work environment. Ability to learn and independently apply laws and departmental rules and regulations covering programs and services. Ability to review and process information to determine conclusions, actions, or compliance with applicable laws, rules, or regulations. Ability to apply a variety of work-related formulas or mathematical calculations. Ability to record, compile, summarize and perform basic analysis of data. Ability to independently work with people with courtesy and tact in performing public contact duties that may be sensitive in nature.
Other Qualifications
High school diploma or GED and moderate experience, or equivalent combination of education and experience.
