A. Office Administration Responsibilities
- Own and drive all aspects of day-to-day office operations, from presentation to functionality, ensuring a clean, efficient, and welcoming environment that reflects the company’s standards. Act as the main point of contact for employees, vendors, and visitors, providing excellent customer service.
- Manage office supplies, equipment, and facility needs, including liaising with vendors and service providers.
- Maintain and manage pantry inventory and office consumables; restock and reorder supplies in a timely manner to avoid shortages.
- Support administrative tasks such as document filing and data entry.
- Collaborate with HR and other departments on office-related initiatives to enhance employee engagement and workplace experience.
- Always ensure cleanliness and tidiness of the office, proactively identifying and addressing areas that need upkeep.
- Take full ownership of office-related projects, including decluttering, renovations, or space optimization, ensuring timelines and quality expectations are met.
- Deliver a consistent and welcoming office experience for all employees, guests, and stakeholders, ensuring everything from reception to meeting rooms reflects a high standard of professionalism.
- Assist with onboarding new employees and support the HR Payroll function (Bank Upload).
- Assist in arranging interviews with Managers and candidates.
B. Crew Travel Administration Responsibilities
- Manage a high volume of crew travel bookings on a daily basis, coordinating flight arrangements for seafarers joining and signing off vessels across multiple ports and time zones, ensuring accuracy, timeliness, and compliance with vessel scheduling requirements.
- Source and secure optimal flight itineraries and fares for seafarers, with demonstrated knowledge of seafarer-specific ticketing considerations including open-jaw routing, multi-sector journeys, flexible fare conditions, and visa-transit restrictions relevant to crew nationalities.
- Remain available and responsive outside of standard office hours within practicable limits to handle urgent or last-minute crew travel requirements arising from vessel schedule changes, port delays, crew medical disembarkations, or other operational exigencies.
- Maintain and manage relationships with preferred travel agents, airlines, and consolidators, actively negotiating rates and identifying cost-saving opportunities without compromising crew welfare or operational punctuality; track and report travel expenditure against budgets on a regular basis.
- Maintain accurate and up-to-date records of all crew travel bookings, ticket copies, itineraries, invoices, and reimbursements within the company’s travel management system, ensuring full audit traceability and timely coordination with the Finance team for payment processing.
