Role Overview
We are looking for an organized, proactive, and highly dependable Office Manager in Bangalore to oversee the day-to-day office operations at Arcana. This role will be critical in ensuring a smooth, efficient, and employee-friendly workplace environment while supporting leadership, vendors, facilities, and internal operations.
The ideal candidate is someone who takes strong ownership, can manage multiple priorities simultaneously, and is comfortable working in a fast-paced startup environment.
Key Responsibilities
- Manage overall office administration and daily operations
- Ensure smooth functioning of office facilities, infrastructure, and workplace readiness
- Coordinate with vendors for housekeeping, pantry, internet, maintenance, security, and office supplies
- Manage office budgets, invoices, reimbursements, and vendor payments in coordination with finance teams
- Handle procurement and inventory management for office assets and supplies
- Support onboarding logistics for new employees including workspace setup and office access
- Coordinate travel, accommodation, and office-related logistics for employees and visitors
- Organize internal events, team gatherings, celebrations, and employee engagement activities
- Ensure office policies, compliance, and workplace standards are maintained
- Partner with leadership and HR teams to improve workplace experience and operational efficiency
- Handle ad-hoc operational and administrative tasks with high ownership
Requirements
- 5–8+ years of experience in office administration, workplace operations, or facilities management
- Prior experience working in startups or fast-paced environments preferred
- Strong organizational and multitasking skills
- Excellent communication and stakeholder management abilities
- Ability to work independently with minimal supervision
- Strong ownership mindset and problem-solving attitude
- Comfortable managing vendors, negotiations, and operational coordination
- Proficiency in Google Workspace, Excel, and basic operational tools
