Role Description This is a full-time, on-site Office Assistant – Invoicing, Accounting & Excel role based in Boulder, CO. The Office Assistant will support daily accounting operations, including preparing and processing invoices, tracking payments, and assisting with basic bookkeeping entries in spreadsheets and accounting tools. The role involves maintaining organized records of bills, vendor information, and project-related financial documents, as well as updating and reconciling Excel sheets to ensure accurate data. The Office Assistant will perform general administrative and clerical tasks such as filing, scanning, and managing office correspondence. This position will also support coordination with internal teams and external stakeholders to resolve billing queries, follow up on outstanding payments, and ensure timely documentation.
Qualifications
Strong clerical and administrative abilities, including Administrative Assistance and Clerical Skills for organizing documents, managing records, and supporting daily office operations.
Professional communication capabilities, including clear written and verbal Communication and proper Phone Etiquette when interacting with internal teams, vendors, and clients.
Prior experience in office administration, invoicing, accounts, or billing
Knowledge of accounting software such as Tally, QuickBooks, Zoho Books, or similar software would be an advantage(optional)
Ability to work independently and complete tasks on time
Proficiency with Microsoft Excel (formulas, data entry, basic reporting) and familiarity with invoicing or accounting software is highly preferred.
Attention to detail, accuracy in numerical work, and the ability to manage multiple tasks with minimal supervision.
High school diploma or equivalent required; additional coursework or certification in accounting, office administration, or related fields is beneficial.
