Our Miami studio is growing, and we are seeking a Project Assistant to join our team. This role is ideal for a highly organized and proactive professional who enjoys supporting teams, coordinating moving pieces, and helping projects run smoothly within a collaborative design environment.


As part of our team, you will support international hospitality, residential, and mixed-use projects while working closely with Project Managers and multidisciplinary teams across the studio.


About the Role

The Project Assistant plays a vital role in supporting the coordination, communication, and day-to-day organization of projects from inception through completion.


You will partner closely with Project Managers and project teams to help maintain operational flow, support project documentation, coordinate meetings and logistics, and ensure information is organized and accessible across multiple active projects.


This role is well-suited for someone who thrives in a fast-paced environment, enjoys solving problems behind the scenes, and takes pride in helping teams stay organized, prepared, and aligned.


What You’ll Do

  • Support Project Managers with day-to-day coordination of project activities, schedules, and deliverables 
  • Assist in tracking project milestones, deadlines, and action items 
  • Maintain organized project documentation, correspondence, and drawing records in accordance with OBMI standards 
  • Support document control processes, including revision tracking, approvals, and distribution 
  • Schedule and coordinate meetings, appointments, and project-related activities 
  • Prepare meeting agendas and document clear, concise meeting minutes 
  • Follow up on action items to support timely completion 
  • Coordinate travel arrangements, including flights, accommodations, and transportation 
  • Manage calendars, correspondence, and project communications 
  • Assist with expense reporting, invoice coordination, and basic project budget tracking 
  • Support communication between project teams, consultants, and clients as directed 
  • Help maintain accurate and audit-ready project files and records 
  • Contribute to a collaborative and organized studio environment 


Who We’re Looking For

We’re seeking someone who is highly organized, dependable, detail-oriented, and motivated to support teams within a dynamic design practice.

You are:

  • Equipped with 2–5 years of experience in an administrative or project coordination role 
  • Experienced working within architecture, design, construction, or professional services environments preferred 
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) 
  • Comfortable managing multiple priorities and deadlines simultaneously 
  • Skilled in written and verbal communication with a professional and collaborative approach 
  • Familiar with project coordination workflows and document management processes 
  • Knowledgeable about project management or document control platforms preferred 
  • Exposure to AI tools or digital productivity systems is a plus 
  • Highly organized with strong attention to detail 
  • Proactive, adaptable, and solution-oriented 
  • Comfortable handling confidential information with professionalism and discretion 
  • A collaborative team member who communicates clearly and diplomatically across teams
