About the Role
We are growing! This position will be out of our Hayden office location. The Optical Patient Services Representative provides warm, welcoming, and efficient customer service to North Idaho Optical’s patients throughout the check-in and check-out experience. This role works closely with optical staff and providers to support smooth clinic operations, ensure visits are processed accurately and promptly, and help patients feel confident about their eyewear choices. The position follows and supports Coeur d’Alene Optical policies and protocols while continuously learning and growing in the optical field.

Requirements
Minimum Qualifications

- High School Diploma or GED equivalent required
- Office experience preferred
- Medical office experience preferred

Duties and Responsibilities
- Check in patients and update demographics at each visit, including insurance information when applicable
- Answer a multi‑line phone system for the optical department, take accurate messages, and deliver them promptly to providers
- Schedule appointments for new and established patients using an electronic practice management system
- Notify patients when products arrive and communicate any delays
- Ensure each patient chart accurately reflects completed paperwork from the patient and/or guardian
- Enter and maintain inventory with a high level of accuracy
- Complete payment authorization forms and communicate necessary details to accounts payable
- Perform quality assurance on incoming orders
- Verify insurance coverage for each visit and obtain prior authorizations when required
- Collect co‑pays, co‑insurance, and private‑pay balances at each visit
- Research patient balances and make collection calls as needed
- Direct patients to billing or collections staff when co‑pays cannot be collected
- Collect payment for services rendered and products purchased
- Provide optical department backup support as needed
- Perform general office duties including copying, faxing, scanning, and mail handling
- Maintain the cleanliness and organization of the waiting room throughout the day
- Perform other duties as assigned
