Nevada Heart and Vascular Center (NHVC) is seeking a detail-oriented and patient-focused Cardiothoracic Surgery (CTS) Coordinator to support our busy CTS department. Under the direction of the Nurse Manager, CTS Supervisor, and clinic physicians, this role ensures all essential patient information is prepared for appointments, coordinates scheduling, manages patient communication, and supports the seamless operations of the CTS clinic.

Key Responsibilities

  • Answer and manage multi-line phone calls with professionalism and courtesy.
  • Schedule consultation, post-operative, evaluation, and follow-up appointments for CTS physicians.
  • Monitor referral emails and ensure timely scheduling of new patient appointments.
  • Request medical records, imaging CDs, surgical reports, and necessary documents for upcoming visits.
  • Prepare and complete X-ray orders for various cardiac procedures (e.g., TAVR, CABG, valve repairs/replacements).
  • Ensure accuracy and completeness of patient charts, including prior cardiac testing and physician notes.
  • Provide appointment reminder calls and support walk-in patients with scheduling and other clinic needs.
  • Accurately review, analyze, and update patient medical records.
  • Assist clinical staff as needed, including occasional patient rooming (front desk/MA support).
  • Maintain compliance with OSHA, HIPAA, corporate policies, and departmental procedures.
  • Attend staff meetings and participate in training and Continuous Quality Improvement (CQI) initiatives.
  • Perform additional duties as assigned.

Minimum Qualifications

  • High school diploma or GED required.
  • Basic computer proficiency (word processing, spreadsheets, email).
  • Strong organizational, analytical, and time-management skills.
  • Excellent written and verbal communication abilities.
  • Outstanding interpersonal skills and ability to work as part of a collaborative team.
  • BLS certification from the American Heart Association.

Preferred Qualifications

  • Experience in a clinical or medical setting.
  • Knowledge of medical terminology.
  • Medical Assistant education or experience.

Physical Requirements

  • Ability to communicate clearly with patients, staff, and physicians (hearing and visual acuity required).
  • Ability to operate standard office equipment (PC, copier, fax, multi-line phone).
  • Occasional lifting, bending, stretching, and walking in a clinical office environment.
