The Project Contract Administrator Specialist is responsible for managing the full lifecycle of contracts across multiple projects. This role focuses heavily on contract review, compliance, administration, and documentation to ensure all agreements align with company standards and project requirements, while also supporting financial processes including AP and AR.
Key Responsibilities
- Review and manage a high volume of contracts, subcontracts, and amendments
- Ensure all contracts comply with company policies, legal requirements, and client specifications
- Track contract lifecycle from initiation through execution, renewal, and closeout
- Maintain accurate contract records, logs, and documentation within internal systems
- Identify risks, inconsistencies, and non-compliant terms, escalating as needed
- Collaborate with project managers, legal, procurement, and finance teams to support contract execution
- Support contract negotiations by tracking revisions and maintaining documentation
- Manage change orders, addendums, and contract modifications
- Monitor contract deliverables, deadlines, and key milestones
- Assist with audits and ensure proper documentation for compliance and reporting
- Coordinate insurance certificates, lien waivers, and other contractual requirements
- Support Accounts Payable (AP) and Accounts Receivable (AR) processes, including invoice tracking, billing support, and payment reconciliation
- Ensure alignment between contract terms and billing/invoicing activities
- Ensure timely execution of agreements to avoid project delays
Qualifications
- 3–7+ years of experience in contract administration, preferably in construction, AV, or low-voltage environments
- Strong experience handling high-volume contracts and document management
- Experience with Accounts Payable (AP) and Accounts Receivable (AR) processes
- Familiarity with contract terms, legal language, and risk mitigation practices
- Ability to read and interpret complex agreements and project documentation
- Experience with contract management systems or ERP platforms
- Strong attention to detail and organizational skills
- Excellent written and verbal communication skills
