Duration: Temporary, project-based role expected to last approximately 6 months

Reports to: Program Manager

Job Type: Temporary, 30 hours per week

Job Summary

This role will play a key role in promoting the Minnesota Promise Act Grant Program by building strong, trusted relationships with entrepreneurs and small business owners across Promise Act communities. The Outreach Coordinator will conduct community-based outreach that includes sharing program information at events, answering detailed questions from business owners, and delivering informational sessions both online and in person.

The coordinator will serve as a knowledgeable and reliable representative of the program, applying a working understanding of PROMISE Act eligibility requirements and compliance guidelines to ensure outreach activities align with program expectations.

 

Key Responsibilities

·        Represent the Promise Act Grant Program at community events, resource fairs, partner sites, and public gatherings.

·        Deliver clear, accurate informational sessions to educate applicants and community members about program eligibility, requirements, and the application process.

·        Serve as an ambassador for the program by building trust, credibility, and sustained engagement within Promise Act communities.

·        Communicate regularly with community organizations and partners to promote outreach activities and increase participation.

·        Share insights, observations, and feedback from outreach activities with program staff to inform strategy and improve access.

·        Maintain accurate, timely records of outreach activities, applicant interactions, referrals, and follow-up efforts.

·        Use required technology platforms to support collaboration, communication, and tracking, including Microsoft Teams, Microsoft Office, and HubSpot CRM.

·        Adhere to all data-handling, confidentiality, and security requirements when working with applicant information and program systems.

·        Plan, coordinate, and execute a growing number of outreach events, including information sessions and technical assistance (TA) labs, to expand program reach over time.

·        Implement outreach strategies that increase attendance at information sessions and TA labs, with a focus on improving average weekly participation across Promise Act communities.

·        Maintain a consistent and visible outreach presence across Promise Act communities through regular engagement at events, partner sites, and community spaces.

·        Track, document, and analyze outreach activities, participant engagement, and outcomes, ensuring timely and accurate reporting.

·        Gather and incorporate community feedback to continuously adapt outreach approaches, strengthen trust, and improve program accessibility.

·        Collaborate with program staff to review outreach performance data and refine strategies to increase participation, enhance application quality, and support successful grant awards.

·        Participation in team weekly meetings

·        Weekly meetings with the outreach contractor

Requirements

·        Experience engaging entrepreneurs and small business owners, particularly those in community-based, underserved, or diverse settings.

·        Demonstrated cultural fluency and ability to build trust and rapport across diverse communities.

·        Strong communication and customer service skills, with the ability to explain complex information clearly and accurately.

·        Organized and detail-oriented, with the ability to document outreach activities, track interactions, and follow up reliably.

·        Technically adept and able to quickly learn and use new platforms and systems.

·        Ability to provide and maintain a personal, dependable laptop that is in good working condition and capable of securely accessing required software and platforms, including Microsoft Teams, Microsoft Office, and HubSpot CRM.

·        Ability to follow data security protocols, confidentiality requirements, and acceptable-use policies when accessing and handling applicant data.

·        Reliable transportation and ability to travel throughout the Twin Cities to attend events and partner meetings.

·        Ability to occasionally attend outreach events on short notice, as needed to support emerging partnership or community engagement opportunities.

·        Fluency in Spanish, Somali, or Hmong is highly valued.
