The Operations Coordinator is responsible for supporting the daily operations of the equipment rental business. This role ensures efficient scheduling, inventory tracking, equipment availability, and customer service coordination. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment.
Rerent / Vendor Coordination
o Source equipment from approved third-party vendors when internal inventory is unavailable
o Build and maintain strong relationships with local and regional rental partners
o Negotiate rerent rates, delivery terms, and availability to protect margins
o Compare vendor pricing and availability to secure the best value
Order Fulfillment & Logistics
o Coordinate delivery and pickup between vendors, yard, and customers
o Ensure rerented equipment meets job specifications and timelines
o Track all rerent orders from request to return, ensuring accuracy and accountability
o Troubleshoot delays, shortages, or equipment mismatches in real time
Cost & Margin Management
o Monitor rerent costs vs. customer billing rates to maintain profitability
o Flag low-margin or high-risk deals and escalate as needed
o Maintain accurate cost tracking and documentation for each rerent transaction
Inventory & Availability Planning
o Collaborate with internal operations to determine when rerent is required vs. internal allocation
o Identify high-demand equipment frequently rerented and provide insights for fleet investment decisions
Customer & Sales Support
o Support sales team with availability checks and pricing for rerent equipment
o Communicate transparently with customers regarding sourced equipment and timelines
o Ensure customer expectations are met despite third-party involvement
Documentation & Compliance
o Process purchase orders, rental agreements, and vendor invoices
o Verify billing accuracy between vendor charges and customer invoices
o Ensure all rerented equipment complies with safety and company standards
Reporting & Analysis
o Track rerent spend, frequency, and vendor performance
o Generate reports on margins, utilization gaps, and vendor reliability
o Recommend process improvements to reduce dependency on rerent where possible
KNOWLEDGE, SKILLS, and ABILITIES
• Understanding of equipment rental operations and lifecycle (delivery, usage, return, billing)
• Knowledge of rerent (cross-rental) processes, vendor sourcing, and third-party coordination
• Familiarity with construction/industrial equipment types and applications (or relevant industry)
• Working knowledge of pricing structures, rental rates, and margin management
• Understanding of logistics, dispatching, and route planning principles
• Basic knowledge of contracts, purchase orders, and invoicing procedures
• Awareness of safety standards and compliance requirements for rental equipment
• Proficiency in ERP/rental systems (RentalMan) and Microsoft Office

MINIMUM REQUIREMENTS
- HS Diploma or GED
- 1 year of relevant experience
