Position Summary

The Facility Coordinator supports the daily facility operations, security functions, and janitorial services across the assigned facilities. This role manages work orders, vendor management, while assisting with budget tracking, reporting, and overall workplace support.

Key Responsibilities

Facilities Operations
  • Serve as the primary point of contact for facility service requests, work orders, and service inquiries.

  • Coordinate repairs, preventative maintenance, inspections, and vendor activity.

    Conduct routine site walkthroughs to identify maintenance, safety, and janitorial issues.

  • Support office moves, openings, relocations and workplace changes.

  • Monitor building systems (e.g., HVAC, access controls, EV charging, CCTV, and life safety) and escalate issues.

  • Ensure facilities management vendor compliance with the contract scope of work, SLAs and requirements.

Janitorial Services
  • Oversee janitorial vendor performance and ensure daily cleaning standards are met.

  • Conduct walkthroughs to verify cleanliness, restocking, and service quality.

  • Track and address escalations related to cleanliness and sanitation.

  • Conduct quality assurance walkthroughs with vendor representation and document findings.

Security Oversight
  • Act as the liaison between facilities, the Security Operations Center (SOC), and guard force personnel.

  • Maintain key logs, visitor management and contractor access procedures.

  • Assist with updating security post orders, SOPs, and emergency procedures.

  • Support responses to access controls system, alarms, CCTV, and incident reports.

Budget & Financial Support
  • Track facility, janitorial, and security expenses.

  • Process purchase orders, vendor proposals, vendor setup, and invoice management.

  • Maintain monthly budget trackers and support variance reporting.

  • Assist with annual budget development and cost savings initiatives.

Vendor & Administrative Support
  • Coordinate vendor schedules, escorts, and compliance with site requirements.

  • Maintain facility and security records, logs, and inspection reports.

  • Prepare monthly summaries of work orders, incidents, janitorial quality and spending.

Qualifications

  • 3-5 years of experience in facilities, janitorial oversight, workplace operations, or security support.

  • Experience with ticketing/CMMS systems and access control platforms preferred.

  • Strong communication, organizational, and time management.

  • Proficiency with Google suite.

  • Ability to multitask and coordinate activities across multiple vendors and stakeholders.

  • Experience with collaborating and supporting teams across multiple time zones.

  • Flexible and available to work evenings, night, and weekends as business needs require.

  • Ability to travel up to 10% to other markets
