Moderna is seeking a Space and Occupancy Planner to join our Warsaw, Poland site. In this key role, you will be responsible for managing workplace space utilization and planning, ensuring optimal allocation of physical space based on occupancy trends, organizational growth, and future needs.

Reporting to the Director of Space Planning within our Global Finance team, you will collaborate cross-functionally with stakeholders across Real Estate, Workplace, and Facilities—including teams at our headquarters in Cambridge, Massachusetts—to provide guidance on effective space planning and alignment with Moderna’s strategic objectives.

This is an individual contributor position, and an exciting opportunity to play a strategic role in optimizing Moderna’s global real estate portfolio, ensuring industry-leading accuracy and efficiency in space planning and workplace design.

Here's What You’ll Do

Your key responsibilities will be:

  • Collect, compile, and evaluate space requests and utilization data, including employee headcounts, to provide insights into space efficiency and optimization opportunities.
  • Assist in the preparation and distribution of reports and visualizations on space usage and occupancy trends, using CAFM/IWMS systems, dashboards, and visualization tools.
  • Develop forecasts for space needs, based on organizational growth, departmental requirements, and anticipated headcount changes, evaluating different space planning scenarios to support business decisions.
  • Collaborate with the global Space Planning team to develop space allocation plans, layout options, and occupancy strategies to meet evolving business needs.
  • Research industry benchmarks and best practices in space utilization and workplace trends to inform space planning initiatives and provide data-driven recommendations.

Your Responsibilities Will Also Include

  • Ensure accuracy and integrity of data in space planning systems (e.g., CAFM, IWMS) through regular audits and updates in collaboration with the CAD/IWMS Administrator.
  • Partner with business unit leaders to understand unique space needs, stay informed on industry trends, and deliver innovative, customized workspace solutions.
  • Build presentation tools and frameworks to support decision-making for leadership committees.
  • Provide detailed and accurate space data, reports, and visualizations to assist space planning and workplace strategy teams.
  • Support space audits, utilization tracking, and layout development as needed.
  • Act as a key resource for internal stakeholders, collaborating with Workplace Services, Facilities, and IT to gather feedback and translate business needs into space planning solutions.
  • Support space requests and projects, including moves, adds, and changes (MAC), test fits, and new space development.

Here’s What You’ll Need (Basic Qualifications)

  • Bachelor’s degree in Facilities Management, Architecture, Interior Design, or a related field; or equivalent experience.
  • 3+ years of experience in space or occupancy planning, MAC Coordinator or a similar role within facilities management or corporate real estate.
  • Proficiency in CAFM and IWMS platforms (e.g., Archibus, OfficeSpace, or similar)
  • Strong knowledge of CAD standards, BOMA standards, and best practices for space and drawing management

  • Strong analytical skills with the ability to interpret data, identify trends, and provide actionable insights
  • Attention to detail and commitment to data accuracy and integrity
  • Experience in integrating data from HR, Finance, and other systems to inform real estate decisions
  • Excellent communication skills, with the ability to present data clearly to non-technical stakeholders
  • Ability to work collaboratively with cross-functional teams and manage multiple priorities in a fast-paced environment
  • Experience with CAD and drawing software (e.g., AutoCAD)
  • Familiarity with industry standards for space utilization and workplace strategy
  • Knowledge of workplace trends and best practices in space optimization
