About the role

We are seeking an organized and proactive Dispatch Manager to manage the efficient and timely dispatch of cosmetic products. The ideal candidate will be responsible for overseeing the entire dispatch process, ensuring that orders are shipped accurately, on time, and in compliance with customer requirements. The Dispatch Manager will work closely with warehouse, sales, and logistics teams to ensure smooth operations and timely delivery to customers, retailers, and distributors. Key Responsibilities: Dispatch Operations Management: Oversee and manage all dispatch operations, including the picking, packing, and shipping of cosmetic products. Ensure that orders are dispatched accurately and on time, meeting customer delivery expectations and quality standards. Coordinate and monitor daily dispatch activities, ensuring smooth flow and resolving any operational issues. Inventory and Stock Management: Work closely with the warehouse and inventory teams to ensure the availability of stock for timely dispatch. Maintain accurate records of dispatched products and update the inventory system accordingly. Conduct regular stock audits to prevent stock-outs, overstocking, and ensure accurate product dispatch. Logistics Coordination: Liaise with logistics service providers (couriers, freight carriers, etc.) to ensure timely dispatch and delivery of goods. Negotiate freight rates and coordinate shipments with external vendors for cost-effective and efficient delivery. Ensure compliance with transportation regulations and packaging standards for cosmetic products. Team Management and Supervision: Lead, manage, and supervise the dispatch team, ensuring high performance, accuracy, and adherence to company standards. Provide training, guidance, and support to team members, ensuring they are well-equipped to carry out dispatch functions. Monitor employee performance and ensure the team adheres to safety, quality, and operational guidelines. Documentation and Reporting: Ensure that all dispatch-related documentation (e.g., delivery challans, invoices, packing lists, shipping labels) is accurately completed and maintained. Prepare and submit regular reports on dispatch performance, stock movement, and shipping status to senior management. Ensure proper documentation of goods dispatched and maintain accurate delivery records for tracking and future reference. Customer Satisfaction: Ensure all customer orders are processed and dispatched in a timely manner to meet customer expectations. Handle customer inquiries related to shipping, delivery issues, or product concerns promptly and professionally. Address and resolve any issues related to damaged goods, delays, or discrepancies in shipments. Compliance and Safety: Ensure that dispatch operations comply with all relevant regulatory and safety standards. Oversee the proper handling, storage, and dispatch of cosmetic products, ensuring they are dispatched in the correct condition. Ensure that the dispatch area is clean, safe, and organized at all times. Continuous Improvement: Identify opportunities for process improvements in the dispatch operation to increase efficiency, reduce errors, and improve overall service levels. Implement best practices in dispatch operations and continuously review procedures to streamline processes.
