Description

Schedule

Monday through Friday during standard business hours. This position is expected to be onsite, with one day per week work from home optional. Willing and able to travel locally and regionally. Some evening and weekend work is required.


Job Summary

The Admissions Specialist is responsible for leading MICC’s proactive admissions and recruitment efforts by cultivating interest, qualifying prospective participants, and driving enrollment across all MICC programs. Some travel is required for this position.

Qualify and Engage Prospective Participants

  • Respond to inquiries with timely, personalized outreach to assess fit, readiness, and interest level
  • Conduct informational meetings and intake consultations to understand goals, learning profiles, and support needs
  • Utilize lead qualification systems to determine progression through the admissions funnel

Recruitment and Outreach

  • Plan and execute annual recruitment strategies and calendar in alignment with MICC's enrollment goals
  • Represent MICC at fairs, conferences, schools, and community partner events—locally and regionally
  • Organize and lead internal recruitment events including open houses, information sessions, tours, and admit days
  • Cultivate relationships with referral sources and community partners to build a pipeline of prospective applicants

Customer Experience and Relationship Management

  • Serve as the primary point of contact for families, guiding them through the admissions, financial aid, and enrollment process
  • Deliver an exceptional customer experience with frequent follow-ups, clear communication, and warm relationship-building
  • Partner with participant and family ambassadors to enhance peer-to-peer engagement

Enrollment Process and Data Management

  • Maintain accurate data within the admissions CRM; manage all records related to inquiry, application, and enrollment
  • Administer MICC’s internal financial assistance application process including document tracking and award communications
  • Generate reports and dashboards to monitor progress toward recruitment goals and inform strategic decisions
  • Participate in the Admissions Committee as a voting member, contributing insight during applicant review

Team Collaboration and Operations

  • Work closely with colleagues in Admissions, Marketing, Program, and Financial Services to ensure seamless handoffs and communication
  • Assist with department operations including system updates, scheduling, travel planning, and special projects
  • Regularly review and improve admissions procedures and documentation
  • Other duties as assigned

Requirements

Education & Experience

  • Bachelor’s degree in Communications, Marketing, Education, Non-Profit Management, or related field preferred
  • 2-4 years of experience in recruitment, sales, admissions, or customer engagement roles
  • Must have database management experience and proficiency in using Microsoft Office products or similar (Outlook, Word, Excel, PowerPoint, etc.)
  • Experience working with neurodiverse populations or people with learning differences is a plus
  • Must be able to perform overnight travel and possess a valid Minnesota driver's license

Skills & Abilities

  • Strong interpersonal skills; ability to quickly establish trust and communicate with empathy and clarity and demonstrates strong active listening skills
  • Proven ability to meet recruitment goals and manage a dynamic pipeline of prospects
  • Excellent written and verbal communication; public speaking experience preferred
  • Highly organized with exceptional attention to detail and time management skills
  • Comfortable with databases, CRMs, and Microsoft Office Suite
  • Strong initiative and problem-solving skills with a customer-service orientation
  • Ability to travel and work occasional evenings/weekends

Paid Time Off (PTO)

MICC offers a generous amount of Paid Time Off (PTO):

  • 176 hours / 22 days (prorated upon start date) of paid vacation time
  • 80 hours / 10 days (accrued at 3.33 hours per pay period) of paid sick time
  • 80 hours / 10 days (holiday schedule available upon request) of paid holidays
  • 8 hours / 1 day for floating holiday
