This is a Class 4 - 12 month position in the secretarial bargaining unit.

SUMMARY/GOAL OF POSITION:
This is a professional, skilled administrative/secretarial position to support the Director of Food Services and the Food Service Department. This position requires an independent workflow while performing duties of a varied and responsible nature, requiring accuracy, good judgment, confidentiality, problem-solving, and organization. Must demonstrate the ability to collaborate well with people under pressure. Must be able to coordinate all clerical and financial activities for the Food Service Department. Provides training and technical computer assistance to department staff.
ESSENTIAL TASKS OF THE POSITION:
- Plans, organizes, and sets priorities on work and works independently.
- Interprets, explains, and applies written and oral instructions, procedures, and regulations.
- Creates outgoing correspondence, including letters and forms for the School Nutrition Program.
- Maintains accurate systems for purchasing, department records, supplies and employee information.
- Relays messages and instructions to staff and vendors either by phone, email or voicemail.
- Heavy bookkeeping and accounting for all food, supplies, payroll, and Food Service financial reports.
- Enters food orders, checks for accuracy, and transmits orders.
- Assists with tracking department funds and purchases, ensuring compliance of department records with mandated requirements.
- Performs general office /receptionist duties including: answering telephones, filing data input, bank deposits, processing of meal applications and direct certification.
- Updates computer information, meal applications, and direct certification information.
- Establishes a good relationship with all staff, school staff, students, parents, central office staff, vendors, and administrators.
- Participates in all training and meetings, as well as completes all necessary hours of continued education required by state and federal programs each year.
- Follows all department policies, procedures, supervisor’s instructions, Connecticut Department of Education regulations, National School Lunch Program, and School Breakfast Program regulations.
- Provides training and technical assistance with numerous software applications
- Performs other tasks related to the position as assigned.

- FINANCIALS -Accounts for Payroll, Food, Paper & Other Supplies in QuickBooks, Audits, Spreadsheets, Bid/RFP Purchasing Documents
- PERSONNEL RECORDS – Hiring, Attendance, Overtime, Discipline Files
- COMPLIANCE - USDA and Connecticut State Department of Education requirements

- Ability to promote public relations and to deal tactfully and diplomatically with people

- Ability to keep information confidential and maintain an ethical attitude
- Ability to work under pressure, meet short deadlines, and shift suddenly to new tasks when priorities change
- Ability to concentrate on accuracy of details.
- Ability to prepare complex reports on own initiative or as directed
- Judgment as to when to act independently and when to refer situations to supervisor
TRAINING AND EXPERIENCE:
- High school diploma or other equivalent
- Five (5) years of proven experience in an administrative assistant-level position
- Highly proficient computer skills, including, but not limited to Google Suite (Calendar, Drive, Docs, Sheets, Slides, etc.) and Microsoft Office Suite (WORD, EXCEL, PowerPoint, etc.), and other software program technologies
- Strong math and organizational skills
- Efficient time management
- Able to take on many tasks at once and prioritize them by importance and relevance
