Position Overview
Our firm is seeking a highly organized and proactive Administrative Professional to support the Executive Managing Attorney overseeing the Claims Verification Department. The Claims Verification team serves as a critical early-stage evaluation unit for new motor vehicle accident personal injury cases, ensuring claims are thoroughly reviewed, documented, and directed to the appropriate litigation track.
This role requires exceptional attention to detail, strong communication skills, and the ability to manage multiple workflows simultaneously. The Administrative Professional will help coordinate case tracking, manage internal reporting, support case managers and leadership, and ensure accurate documentation and timely follow-up across the department.
Key Responsibilities
Executive & Departmental Support
- Provide direct administrative support to the Executive Managing Attorney overseeing the Claims Verification group.
- Assist with scheduling, communications, and internal coordination with case managers, leadership, and other departments.
- Prepare reports, spreadsheets, and summaries regarding department case activity.
- Track key metrics and assist with monitoring case progress and workflow compliance once fully trained.
Case Tracking & Workflow Administration
- Maintain and update internal tracking databases and spreadsheets for:

- Elevated cases (matters approved for continued handling by the firm)
- Transfer cases (matters referred to partner firms)
- Turnback cases (matters closed due to legal or factual deficiencies)
- Assist with monitoring ticklers and reminders for follow-up actions within case management systems.
Documentation & File Management
- Assist with preparing and organizing case documentation within the firm’s case management software.
- Support the preparation and distribution of internal case review summaries and recommendation memos and correspondence to outside legal partners.
Internal Coordination
- Work closely with Claims Verification Managers and Case to ensure proper documentation of case recommendations.
- Assist with tracking tasks related to approved transfers and file closures.
- Coordinate communication related to case transfers and file closures, including both internal and external notifications and document distribution.
Process & Quality Control
- Help ensure compliance with the firm’s standardized Claims Verification workflow.
- Identify and flag missing documentation or incomplete case notes.
- Support process improvements and assist leadership in maintaining operational efficiency.
Qualifications
- Prior administrative experience in a legal, insurance, or medical environment preferred
- Strong organizational and multitasking abilities
- High attention to detail and accuracy in documentation
- Strong written and verbal communication skills
- Ability to handle confidential information with professionalism
- Proficiency with Microsoft Office (especially Excel)
- Experience with legal case management systems is a plus
