The Front Office Associate is responsible for providing helpful, friendly customer service to the public concerning all programs and activities of MRC. Duties include but are not limited to: money collection, operating a computer with facility management software, greeting patrons entering the facility, answering the telephone, taking messages, maintaining records, creating informational signs, and data entry. The Front Office Associate is under the direct supervision of the Front Office Manager. Must have at least three professional references.
ESSENTIAL FUNCTIONS OF THE JOB :
- Understands, supports, and promotes the mission of MRC.
- Interacts and communicates with the public and other employees in a courteous and professional manner in person, via email, and on the telephone.
- Responds clearly and professionally to in-person, email, phone, text, and chat inquiries about MRC programs, events, and reservations.
- Assists customers with registrations and reservations.
- Operates a computer with facility management software and Point-of-Sale software.
- Uses Google Workspace products (documents, sheets, email, etc.) to communicate with colleagues and track tasks.
- Keeps reception desk tidy and organized.
- Helps support various office activities, including setting up and cleaning up after events, data entry, printing/sorting, and other administrative tasks.
- Observes and enforces all rules and regulations of the facility.
- Seeks assistance from other employees and/or supervisors when needed. Keeps supervisor informed of any problems arising with participants, activities and the facility.
- Reconciles daily cash outs.
- Works a flexible schedule with some holidays, evenings, and weekends as assigned.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES :
- Clear and professional written and spoken communication and administrative skills; excellent telephone manner.
- Computer literacy including Google Workspace products and basic internet skills
- Ability to operate a multi-line telephone with voice mail, cash register/computer-operated cash drawer, computer, fax machine, copier, and other modern office equipment.
- Ability to learn a facility management computer system.
- Ability to understand and carry out oral and written instructions and posted schedules.
- Ability to report to work as scheduled and notify the appropriate individuals in advance if unable to work.
- Ability to work with minimal daily supervision.
- Ability to establish and maintain effective, harmonious, cooperative, and productive working relationships with the public and other employees.
- Have general knowledge of recreational activities or willingness to learn.
- Must possess dedication and the ability to work with customers with a positive attitude.
