Role Overview
This role is for a Microsoft 365 specialist who
thinks about how the platform should be used, not just how to configure it. You'll own our SharePoint architecture, Teams structure, document control, dashboards, security, and Copilot rollouts. But more importantly, you'll look at how our teams actually work today and design how the Microsoft 365 ecosystem should support them tomorrow.
We're a design and construction business with teams in India and the UK. Document control, project data, drawings, BOQs, schedules — all of it needs structure, governance, and findability. You'll be the person who makes that real.
Key Responsibilities
Process Mapping & Systems Design
- Map document flows, approval chains, and information bottlenecks
- Redesign processes inside Microsoft 365 to fit how people actually work
- Drive adoption through training, documentation, and clear standards
Microsoft 365 Architecture & Administration
- Own M365 admin: user management, licensing, configuration, governance
- Architect SharePoint sites for project documentation, drawings, schedules, BOQs
- Design Teams structure, channels, and integrations across all departments
- Manage Sharepoint, OneDrive, OneNote, Loop, Planner, Exchange Online, and Outlook as one connected ecosystem
Document Control & Knowledge Management
- Build and enforce document control standards across projects
- Design metadata, content types, retention rules, and version control in SharePoint
- Create reusable templates and asset libraries
- Improve document search, retrieval, and discoverability
Power BI & Dashboards
- Build operational dashboards: project status, team allocation, financial summaries, productivity
- Connect dashboards to SharePoint Lists, Excel, Planner, and other sources
- Data modelling and DAX where required
- Make reports leadership actually uses — not vanity dashboards
Power Automate & Workflow
- Build and maintain Power Automate flows for approvals, notifications, document routing
- Standardise repetitive operational processes
- Know when a flow is the right answer and when it isn't
Copilot Studio & AI Inside Microsoft
- Design and deploy custom Copilots and agents in Copilot Studio. Work with other agent tooks like Claude etc as and when needed.
- Configure Microsoft 365 Copilot rollouts and drive real adoption (not just licensing)
- Train teams on Copilot usage across Word, Excel, Teams, Outlook
Security & Governance
- Configure M365 security baselines, conditional access, MFA, DLP
- Manage permissions, external sharing, and information protection
- Run regular access reviews and security audits
- Backup and compliance configuration
Team Enablement
- Train staff on Microsoft 365 tools and new features
- Write internal documentation and SOPs
- Be the in-house expert people go to
Must-Have Skills
- A genuine problem-solver's mindset — you challenge messy processes rather than copy them into a new tool
- Strong M365 admin experience (SharePoint, Teams, Exchange, OneDrive, Power Automate, Power BI)
- Solid SharePoint architecture skills — sites, libraries, metadata, permissions, content types
- Power BI dashboard building, data modelling, basic DAX
- Power Automate workflow design
- M365 security and governance fundamentals
- Excellent English communication and the ability to train non-technical users
- Copilot Studio experience — building custom agents
- M365 Copilot deployment and adoption experience
- 2–5 years in Microsoft 365 administration, digital workplace, or IT operations
