Medical Conference Manager

partners. eMedEd Inc. is a non-profit educational organization developing
accredited CME/CE activities through educational grants and independent
initiatives. The organization conducts in-person, hybrid, and live-streamed
medical conferences across multiple specialties.
Role Overview
The Conference Manager will be responsible for end-to-end planning,
coordination, execution, and post-event reporting for CME/CE conferences (live
and hybrid formats). This role requires strong operational control, stakeholder
management, faculty coordination, sponsor engagement, compliance oversight,
and cross-functional collaboration.
Key Roles & Responsibilities
- Ensure conference websites are updated with finalized agenda, topics,
speaker details, timings, sponsorship packages, and brochures.
- Monitor inbound participant, exhibitor, and sponsor inquiries and coordinate
timely follow-ups.
- Communicate with participants, sponsors, and exhibitors regarding logistics,
deliverables, and conference updates.
- Manage speaker agreements, honorarium disclosures, travel and
accommodation coordination, and presentation timelines.
- Issue official invitations and visa letters for international attendees.
- Maintain detailed task trackers, milestone sheets, and project timelines.
- Provide structured weekly updates and escalate risks to leadership when
necessary.
- Coordinate with venue, event management, and AV teams for hybrid/live
streaming setup and execution.
- Ensure accurate attendance tracking for CME/CE compliance and certificate
issuance.
- Oversee exhibitor onboarding, booth allocations, branding placements, and
pre-event readiness.
- Compile post-conference metrics, attendance analytics, engagement reports,
and support outcomes reporting.
- Track budgets, manage vendor coordination, and support financial
reconciliation.
Required Experience
- 4–8 years of experience in conference or healthcare event management.
- Experience managing hybrid/live-streamed conferences.
- Strong project management and stakeholder coordination skills.
- Proficiency in Excel, PowerPoint, and task management tools.
- Strong communication and documentation skills.
- Willingness to work in overlapping US time zones when required.
