Role Summary
The Warehouse Coordinator will be responsible for monitoring and managing Inbound & outbound deliveries locally and/or regionally while ensuring a smooth workflow in the invoicing process and orders/shipments transportation.
Job Responsibilities
- Coordinate and follow up on the inbound and outbound activities & mentoring Tatmeen portal requirements on a daily basis.
- Communicate with clients and sales team the shipping status of the respective orders.
- Handle any delay, mis-discharge or incident in a fast and efficient way while limiting damages and minimizing extra cost.
- Liaise with stakeholders (customers, sub-distributors, sales managers, production units and logistic personnel) to meet and exceed their expectations.
- Prepare quotes, invoices and delivery orders through Company’s ERP systems (SAP, CRM) in a timely manner.
- Verify and validate content of invoices as per requirements and order information while managing and resolving complications or discrepancies.
- Coordinate with project controller to ensure that the documents are followed according to the contract
- Ensure compliance with regulatory and competent authorities.
- Liaise with the 3rd Party Logistics Provider (3PL) to obtain information relating to the preparation and shipping of customer purchase orders.
- Raise RMA (Returns Management Authorization) and Faulty Product requests from customers, notifying the 3PL and Credit Control of pending returns.
- Resolve product or service problems by clarifying the customer's complaint; determining the cause of the problem; selecting and explaining the best solution to solve the problem; expediting correction or adjustment; following up to ensure resolution
Qualification
- Bachelor degree in Business Management, Supply Chain or related field.
- Previous experience in shipping aesthetic products and medical equipment is a plus.
- Previous experience in shipping processes and invoicing is a plus.
- Proficiency in using Microsoft Excel.
- High problem-solving skills.
- Ability to negotiate with vendors, suppliers, shipping companies and internal stakeholders to maximize quality of service and maintain quality standards.
- Strong analytical skills.
- Proficiency in writing and communication in English.
Experience
- Minimum 1-3 years of proven experience in a similar role.
